We are seeking an Assistant Manager to join our team. The successful candidate will play key roles in student support & counselling, academic support & operations, student well-being & personal development, crisis management & emergency response, communication & advocacy.

The candidate will also provide essential services between the school, NTU's University Wellbeing Office's (UWO) satellite counsellor and other care needs.

The key responsibilities include:

Student Support & Counseling

  • Assist students in navigating life challenges, providing wellbeing care and connecting them to needed resources

  • Managing student crisis and assisting with UWO and AC of Student Life in managine acute well being student needs.

  • Work with Undergraduate (UG) and Postgraduate (PG) student clubs to develop and deliver workshops or training sessions on topics of interest to student body, such as stress management, resilience, time management, and conflict resolution.

Academic Support & Operations

  • Assist with student advising and well being support as part of academic operations, providing support in navigating academic challenges (e.g. course selection, academic performance, and time management), and supporting students at risk of academic probation.

  • Assist faculty members to support students who may require additional support and develop tailored plans for academic success, especially those that have Special Education Needs.

  • Assist to review application for Leave of Absence (LOA) and withdrawals, streamlining the process by reviewing cases and ensuring all necessary follow-up actions are taken, including academic counseling, emotional support, and guidance through the application process.

Well-being & Personal Development

  • Promote student well-being through supporting UWO outreach initiatives that support mental, emotional, and physical health, developing some in-house workshops for students.

  • Collaborate with the campus health services, wellness programs, and student organisations to promote a balanced lifestyle.

  • Organise and lead student engagement events, programs, or activities that foster a sense of community and belonging among students with support from Events & Communications Team. This includes the UG and PG student clubs, student freshmen orientation and relevant ad hoc committees.

  • Identify and assist with outreach to students on semester-long exchange or overseas internship to ensure well-being while overseas and to facilitate the academic and interpersonal transition back to school environment.

Crisis Management & Emergency Response

  • Serve as a point of contact during student crises (e.g., medical emergencies, personal loss, mental health concerns).

  • Provide immediate support, coordinate with external agencies (e.g., counselors, social workers), and ensure students are directed to the appropriate care.

  • Maintain a confidential and empathetic approach to sensitive student matters.

Communication & Advocacy

  • Be a key advocate for students, representing their needs and concerns to faculty, staff, and administration.

  • Liaise as appropriate with student's designated Next of Kin, managing relationships between all impacted parties.

Data Management & Reporting

  • Maintain detailed records of student interactions, progress, and support provided while adhering to confidentiality standards.

  • Analyse student feedback, surveys, and case data to assess the effectiveness of student care programs and services.

  • Prepare reports for senior management on the health and well-being of the student body, identifying trends and areas for improvement.

Collaboration with Campus Departments

  • Collaborate with UWO and their satellite counselor, other academic departments, student affairs, career services, housing, and other university units to ensure a coordinated and holistic approach to student care.

  • Participate in regular meetings with cross-functional teams to discuss student concerns, welfare initiatives, and institutional support strategies.

  • Work with the Assistant Chair Student Life to communicate and assist the student body to manage any changes in school, college or university level policies.

  • Identify potential impact on school-level policies that arise from other department initiatives or requirements, alert impacted school administrators, and where appropriate, assist with developing and implementing needed changes within the school.

Training & Development

  • Oversee the Freshmen Orientation Programme peer support training for Group Leaders, expanding the program to engage Group Leaders and their mentees throughout the first year at ADM.

  • Assist with training for faculty, staff, and student leaders on recognising signs of distress or emotional difficulties among students.

  • Stay updated on best practices in student care and support, attending professional development opportunities as appropriate.

The key requirements include:

  • Minimum 5 years of work experience in counselling support or outreach, training, and coordinating across multiple units to provide support services to individuals.

  • Strong counselling and well-being outreach skills.

  • Knowledge of the different and diverse developmental and social needs between UG and PG students.

  • Good communication and writing skills, able to interact well with stakeholders.

  • Strong organisational and time-management skills, able to plan and prioritise schedule and work which may have competing deadlines.

  • Proactive problem solver, adaptable to dynamic environments

  • Ability to evaluate existing work processes, identify inefficiencies and develop areas for improvement.

  • Knowledgeable of confidentiality rules around student care and able to manage confidential information and records.

  • Empathy towards young adults and the unique challenges present in this stage of life.

  • Passion for providing support to faculty and students, with a strong service focus

  • Self-directed and motivated team player. Able to both work independently with minimal supervision and collaborate with colleagues in a team-oriented environment.

  • Good sense of initiative and responsibility with a positive work attitude

  • Meticulous, organised and has a strong willingness to learn.
