Events & Partnerships Coordinator

Job Description
Event Planning & Coordination:
• Conceptualise, plan, and execute engaging events from ideation through post-event analysis.
• Develop detailed event timelines, budgets, and logistics plans ensuring all elements are aligned with company objectives.
On-site Event Management:
• Oversee all on-site operations, ensuring smooth event execution, timely troubleshooting, and a superior attendee experience.
• Manage event staff and volunteers, providing clear instructions and support as needed.
Social Media Coverage & Digital Engagement:
• Manage real-time social media coverage during events, including live updates, streaming, and engaging with the online community.
• Collaborate with the marketing team to create pre-, during-, and post-event digital content to maximize audience reach and engagement.
Vendor & Partner Management:
• Identify, negotiate, and manage relationships with vendors, suppliers, and partners.
• Oversee contracts, ensure compliance with agreements, and maintain strong professional relationships.
Administrative Support:
• Perform basic administrative tasks such as scheduling meetings, managing calendars, and preparing reports.
• Assist with data entry, maintaining event documentation, and coordinating communication between internal teams and external partners.
Collaboration & Communication:
• Work cross-functionally with marketing, creative, and operations teams to ensure consistent brand messaging and seamless event execution.
• Coordinate with internal stakeholders and external agencies to align event strategies with overall business goals.
Post-Event Evaluation:
• Collect feedback, analyse event performance metrics, and generate reports to measure ROI and identify areas for improvement.
• Implement best practices and innovative ideas for future events based on insights gained.
Skills & Competencies:
• Exceptional organisational and project management skills with keen attention to detail.
• Strong negotiation and vendor management abilities.
• Excellent written and verbal communication skills.
• Ability to work under pressure and manage multiple projects simultaneously.
• Proficiency in event management software and tools (e.g., project management tools, CRM, social media platforms).
• Experience with managing social media channels or curating social content will be a bonus
