Key Responsibilities

Regional Sales Operations Management

  • Oversee sales operations processes for Singapore, Indonesia, and Malaysia, ensuring consistency and efficiency across all regions.

  • Lead and guide local operations teams on order management, documentation, and fulfilment processes.

  • Develop and implement process improvements to enhance operational accuracy and efficiency.

  • Serve as the main point of contact for regional sales and logistics coordination.

Order Management

  • Review and process customer orders, ensuring accuracy, completeness, and compliance with company policies.

  • Enter and maintain order information in the system, ensuring timely updates and proper documentation.

  • Communicate with the sales team and customers regarding order discrepancies, delivery timelines, and special requests.

  • Monitor and track order status across regions, escalating any issues that may impact fulfilment.

  • Coordinate procurement of required materials, components, or services to meet project and customer requirements.

Logistics & Fulfilment Coordination

  • Oversee import and export shipping documentation for all regional transactions.

  • Coordinate with freight forwarders, customs agents, and internal stakeholders to ensure smooth and timely shipment of goods.

  • Track order and shipment progress from placement to delivery and resolve any fulfilment issues promptly.

  • Manage post-delivery activities, including returns, replacements, or warranty claims.

  • Collaborate with the Finance team to verify payment terms and ensure accurate invoicing.

Reporting & Documentation

  • Maintain accurate and up-to-date records of orders, shipments, and communications in the company system and MS SharePoint.

  • Prepare and analyse regular reports on order status, backorders, fulfilment performance, and process efficiency.

  • Support management with regional sales operations insights and recommendations for improvement.

  • Ensure compliance with company and regional documentation standards.

Leadership & Administrative Support

  • Supervise and mentor sales operations staff across multiple countries.

  • Coordinate with cross-functional teams including Sales, Finance, and Logistics to support business objectives.

  • Provide general administrative and operational support to ensure smooth regional business operations.


Requirements

  • Minimum 5 years of experience in sales operations, order management, or related functions, preferably with regional exposure.

  • Strong understanding of import/export processes, shipping documentation, and order fulfilment.

  • Proficient in Microsoft Office and familiar with ERP or order management systems.

  • Excellent communication, coordination, and problem-solving skills.

  • Strong sense of urgency, attention to detail, and ability to manage multiple priorities across regions.

  • Experience in billing or revenue reconciliation will be an advantage.

  • Ability to work independently while leading cross-border collaboration.
