Senior / Executive (Registry Services), Singapore Mediation Centre

Reporting Structure: This position reports to the Senior Manager (Registry Operations), Singapore Mediation Centre

Key Responsibility

  • Ensuring the smooth and timely administration of case files including accepting lodgement of cases, database management, preparation of correspondence and liaising with stakeholders (the Courts, clients, neutrals and other industry partners). This includes the administration of online disputes on SMC's Online Dispute Resolution platform.

  • Finance management of case files including advising parties on the fees, collection of deposits, preparing billing memos and liaising with the Finance department on payments/refunds.

  • Providing secretariat support to all clients and setting-up of facilities (e.g., the preparation of materials and amenities, preparing notices and labels, managing catering requests, setting-up videoconferencing and/or other audio-visual equipment as and when required).

  • Handling email, in-person and phone enquiries from members of the public, lawyers and stakeholders.

  • Assisting the Senior Manager with other ad hoc duties as may be required, including:

  • Co-ordination with committee members to schedule, prepare for and set-up committee meetings, attending committee meetings, taking minutes and carrying out meeting follow-ups.

  • Updating, maintaining and retrieving case data for the purposes of statistical reporting; and

  • Providing input/feedback on reviewing processes and operational systems.

Qualifications

  • A Diploma/Degree, with preferably 2 – 3 years' of working experience. Experience in the legal industry will be an advantage.

  • Good written and spoken English

  • Organised and meticulous, with the ability to multi-task to meet deadlines

  • Able to work as a team and independently with various internal and external parties

  • Good attitude and interpersonal skills

  • Strong administrative skills
