About the role

We are looking for Bid Administrator to supports and managing tender process for public and private sector architectural projects. The role involves from preparing bid documents, coordinating submissions, reviewing tender requirements, and ensuring compliance.

Roles and Responsibilities:

  • Support the end-to-end tender and bid process, including document preparation, coordination, and timely submission.

  • Assist in the preparation of business proposals, tender submission, and supporting materials, ensuring accuracy, completeness and compliance with submission requirements.

  • Maintain updated records of business development activities, including leads, tender opportunities, awarded contracts, and staff CVs.

  • Compile bid/proposal submission documents, including tender questionnaires and pre-qualification requirements.

  • Liaise with internal departments to prepare for tender submissions and responses within specified deadlines.

  • Coordinate with consultants for collaboration on multi-disciplinary projects, issue invitations for participation and track responses.

  • Monitor and ensure timely receipt of the fee quotations, clarifications and required documents from external stakeholders.

  • Manage tender and proposal deadlines, provide post-submission support, and tracking tender outcomes or award status.

  • Provide Finance team with details of successful bids, Including fee payment structure, billing schedules, and contractual terms.

  • Any other ad-hoc duties as assigned by Superior.

Requirements:

  • Minimum Diploma related to the construction industry (eg. Architectural, Engineering, Project Management, Quantity Surveying) is preferred.

  • At least 2 years of relevant experience in tender administration, bid coordination, project support or similar roles.

  • Strong understanding of tender process and familiar with gov procurement platforms (eg. GeBIZ, Ariba, Sesami, Tender Boards) is a plus.

  • Ability to work under pressure and meet tight deadlines.

  • Detail-oriented, committed and able to multi-tasking.

  • Good verbal and written communication skills.

  • Proficiency in Microsoft Office.
