Reservations Officer

Responsibilities

• Safely transport guests to designated destinations such as airports, restaurants, attractions, and other requested locations in accordance with hotel standards and safety regulations.
• Maintain the cleanliness and upkeep of the assigned vehicle, ensuring it is always in safe, presentable, and optimal working condition.
• Assist guests courteously with loading and unloading of luggage or other belongings.
• Provide a warm and professional welcome to all guests, demonstrating attentiveness, respect, and service excellence.
• Communicate effectively with the concierge, front desk, and other departments to coordinate transportation and booking arrangements.
• Perform routine vehicle checks and report any maintenance or safety concerns promptly.
• Stay informed of traffic updates, road conditions, and local events that may impact guest travel.
• Respond to guest correspondence and inquiries within 24 hours in a courteous and professional manner.
• Answer all incoming calls promptly (within three rings) with appropriate telephone etiquette.
• Recommend suitable packages or services based on guest needs and preferences.
• Ensure timely and accurate follow-up on guest requests and bookings.
• Accurately retrieve, process, and record all reservations in the Property Management System (PMS) on the same day.
• Prepare and print daily reports promptly and ensure follow-up on no-shows, traces, missing correspondence, and car transfer reports.
• Proactively upsell hotel services and packages whenever appropriate to enhance guest experience and revenue.

Requirements

• Minimum 1 year of experience in the luxury hotel industry (any department).
• Proficient in computer applications and Property Management Systems (PMS).
• Excellent telephone etiquette and communication skills.
• Good knowledge of local routes, traffic regulations, and safety procedures.
• Positive attitude, professional appearance, and strong customer service orientation.
• Ability to multitask, stay organized, and work well under pressure.
