We are seeking a detail-oriented and resourceful Admin / Purchasing Executive to support our operations and ensure smooth coordination between suppliers, clients, and internal teams.


Key Responsibilities

Administrative Support

  • Handle day-to-day administrative tasks to support company operations.
  • Organize schedules, meetings, and follow-ups.
  • Maintain proper filing systems for documents and records (both digital and physical).
  • Draft, review, and reply to emails professionally in English and Mandarin.

Purchasing & Procurement

  • Source fabrics, trims, packaging, and other materials from suppliers.
  • Negotiate pricing, lead times, and order quantities to ensure cost efficiency.
  • Issue purchase orders and track deliveries to meet project timelines.
  • Build and maintain relationships with local and regional suppliers.

Operations & Coordination

  • Monitor fabric and material stock levels, ensuring timely replenishment.
  • Coordinate with suppliers, seamstresses, and logistics partners for smooth production flow.
  • Conduct quality checks on materials and finished products before delivery.
  • Support the end-to-end uniform production workflow, from order placement to delivery.

Finance Support

  • Prepare and issue quotations and invoices.
  • Assist in monitoring supplier payments and project cost tracking.

Requirements
  • Entry-level to 2 years of experience in administrative or purchasing roles (hospitality / fashion / design background is a plus).
  • Strong organizational skills with attention to detail.
  • Proactive, resourceful, and adaptable with a positive working attitude.
  • Proficient in Microsoft Office / Google Workspace; experience with ERP/HRMS systems is a plus.
  • Comfortable communicating in both English and Mandarin.
