Job Description:

We are seeking a proactive and organized Nursing Administrative Assistant to support our healthcare team and ensure smooth operations. The successful candidate will serve as a point of contact for non-medical inquiries, coordinate various resident services, and assist with administrative and billing tasks. Proficiency in Excel is essential for managing data, scheduling, and reporting.

Key Responsibilities:

  • Serve as the point of contact for non-medical enquiries from next of kin and other stakeholders.
  • Coordinate appointments for residents, including medical visits, home leave, and other activities.
  • Assist in billing for services rendered to residents.
  • Manage schedules and communicate with internal and external stakeholders for various needs such as medication collection, transport, and supply logistics.
  • Support nursing functions by coordinating residents' transport for medical appointments and managing meal requests.
  • Handle cancellations and raise purchase requests for Household supplies and services.
  • Maintain and update spreadsheets and databases using Excel.
  • Prepare reports, summaries, and schedules as needed.
  • Manage incoming calls, emails, and correspondence.
  • Ensure compliance with healthcare regulations and privacy policies.
  • Support inventory management and supply ordering.

Qualifications:

  • Proven experience as an administrative assistant or similar role within healthcare.
  • Proficiency in Microsoft Excel and other Microsoft Office applications.
  • Excellent organizational and multitasking skills.
  • Strong communication skills, both written and verbal.
  • Ability to handle sensitive information confidentially.
  • Knowledge of healthcare terminology and procedures is a plus.

Preferred Skills:

  • Experience in nursing or medical office environment.
  • Customer service orientation and problem-solving skills.
  • Ability to work independently and collaboratively.
