IT Project and Support Specialist

Position Overview
The role supports a wide range of IT activities including project coordination, systems support, hosting and domain management, onboarding and offboarding, and Level 1 application support. The position works closely with business teams, vendors and internal stakeholders to ensure smooth execution of IT projects, reliable system operations and timely support delivery. The individual also performs IT tasks assigned by the IT Manager as part of operational or project requirements.
Key Responsibilities
IT Project Coordination (Primary Role)
- Coordinate end-to-end project activities across ERP, WMS, Microsoft ecosystem and digital initiatives.
- Maintain project plans, RAID logs, timelines, trackers and weekly progress updates.
- Arrange project meetings, prepare minutes, track action items and ensure timely follow-through.
- Prepare functional requirements, change requests, UAT plans, user communication and project documentation.
- Monitor project risks, issues and dependencies, escalating when required.
- Support digital transformation and continuous improvement initiatives across functions.
Requirements and Documentation
- Work with stakeholders to gather, clarify and document functional requirements.
- Develop user stories, acceptance criteria, SOP updates and process documentation.
- Support estimation discussions, sprint planning and backlog refinement sessions.
Testing and Deployment Coordination
- Coordinate UAT cycles, including test planning, test scripting, test execution and defect tracking.
- Work with technical teams and vendors to validate system enhancements and integrations.
- Support go-live readiness, deployment activities, change communication and hypercare.
Microsoft Business Central and Microsoft Ecosystem Support
- Provide Level 1 support for Business Central including navigation guidance, basic issue handling and workflow clarification.
- Assist in enhancements, UAT preparation and documentation activities for BC modules.
- Support Microsoft 365, Teams, SharePoint, Power Automate and related collaboration tools.
- Assist in simple automation workflows, forms and reporting tasks.
Data, Integration and Low-Code Support
- Assist with data extraction, cleansing, validation and migration activities.
- Support integration testing between ERP, WMS and other operational systems.
- Assist with workflow automation using Power Apps, Power Automate, AppSheet or similar platforms.
- Support preparation of dashboards, analytics reports and operational insights.
Hosting and Domain Configuration
- Manage hosting environments including cPanel administration and routine maintenance.
- Configure DNS records, domain settings and basic security controls.
- Coordinate domain renewals, provider communication and technical escalations when required.
- Ensure hosting and domain configurations comply with internal standards and security practices.
IT Support, Onboarding and Offboarding
- Provide Level 1 support for business applications and user access issues.
- Log, track and follow through on support tickets until closure.
- Set up accounts, email access, device configurations and system permissions for new employees.
- Coordinate account deactivation, access removal, asset retrieval and documentation updates for staff exiting the organisation.
- Maintain user access records, permissions logs, device assignment lists and related compliance documentation.
- Perform IT tasks assigned by the IT Manager based on operational needs.
Compliance, Governance and Documentation
- Ensure adherence to internal governance, SOPs, ISO standards and audit requirements.
- Maintain updated documentation for systems, access rights, workflows and operational processes.
- Support preparation of materials for audits, security reviews and compliance assessments.
Qualifications
Degree or Diploma in Information Technology, Business IT, Computer Science with at least 3 - 7 years in IT project coordination, application support or related IT operational roles.
Experience with ERP systems such as Business Central, SAP, Oracle or Netsuite is preferred.
Exposure to WMS systems, hosting administration, DNS settings and low-code platforms is advantageous.
Strong organisational skills with consistent follow-through.
