About the Role
The successful candidate will provide comprehensive office administrative support to the Division of Supportive and Palliative Care while overseeing all administrative staff within the department. This role combines high-level administrative coordination with team leadership responsibilities, requiring strong organizational skills and the ability to manage multiple stakeholders across clinical, education, and research domains.
Some of the Key Responsibilities Include
• Organize and manage senior consultant schedules, ensuring well-coordinated appointments with effective communication of reminders and changes
• Provide clinical service and quality improvement support through data collation, statistical analysis, and preparation of regular reports on clinical indicators
• Serve as administrator for NCCS information systems including Infopedia and Docupedia, ensuring platforms remain current and accurate
• Lead and supervise administrative team members, managing workload distribution, performance monitoring, and staff training and development
• Organize meetings across service, education, and research domains, including preparation of materials, minute-taking, and follow-up coordination
• Respond to internal and external requests for statistics and reports, ensuring accurate and timely delivery of required data
• Assist in departmental planning exercises including annual budget preparation and other duties as assigned by the Head of Department
• Drive programme and project management activities, including stakeholder engagement, analysis of outcomes, and preparation of presentation materials for meetings (for candidates shortlisted for team lead role)
Job Requirements
• University degree with 2 to 3 years of relevant working experience. Candidates with more experience will be considered for the team lead role
• Strong communication skills with ability to interact effectively at all levels and coach junior staff
• Excellent secretarial and administrative skills, preferably with prior healthcare industry experience
• Strong interpersonal skills for liaising with various departments, government bodies, and private institutions
• Proficiency in computer software including Microsoft Office Suite (Word, Excel, PowerPoint) and data visualization tools like Tableau
• Ability to work independently with initiative and creativity while functioning effectively as part of a team
• Experience in programme management, quality improvement, and team supervision would be advantageous
