Senior / Clinical Support Executive

Singapore VANGUARD HEALTHCARE PTE. LTD. Full time

This role manages the daily administrative and operations support to the nursing team of the 5 Care Homes, thereby ensuring a smooth delivery of the resident related services in accordance to the stipulated service level standards.

**Location: Senja Care Home**
- Synergise all the clinical processes/workflow etc across 5 homes
- Assist with development of T&E and QM departments
- Administrative duties as assigned
- Handling of documentation such as vaccination records
- Track and report QM indicators
- Prepare slides for monthly presentation
- Write minutes of meetings and circulate
- Be the liaison person in preparation & readiness for licensing process, collaborations, projects etc
- Manage inventory/utilisation of supplies, equipment management etc
- Work very closely with Ops and clinical to streamline processes/workflow
- Any others assigned

2.1 Administrative Duties
- Record the following information to ensure accuracy in a timely manner:

- Medical Certification
- Hospitalisation
- Overseas Leave
- Tabulate and submit monthly overtime claims for nurses
- Arrange trainings for nursing/Residential Care Associate (RCA), as guided by nursing leaders required
- Movement of staff from apartment to dormitory and vice versa
- Manage the Escort Services
- Inform staff if there are any deliveries or letters for them

2.2 Handling of Documentation
- Uploading of residents’ documents and keying of records into the IT portal, such as ECCare or any other system assigned.
- Filling of staff-related documents and audited documents, for licensing audit purpose.

2.3 Nursing Dashboard
- Track and report of data to nurse leaders related to nursing sensitive indicators (e.g. Falls, Medication Errors, Pressure Injuries etc.)

2.4 Procurement
- Manage & ensure adequate supplies of consumables (surgical, stationaries and linen) according to par levels and utilization charging compliance.
- Manage purchase requisition requests and handling invoices for payments.

2.5 Assist the Senior / Nurse Manager in the preparation & readiness for the two (2) yearly licensing process.

2.6 Performs any duties as assigned by the Senior Nurse Manager/ Assistant Director of Nursing / Director of Nursing.

**Requirements**:

- Degree in any discipline
- Meticulous with an eye for detail
- Good communication skill and organisation ability
- Proficient in Microsoft Office
- At least 4 years of administrative experience preferably in a clinical/ healthcare environment
