Our client is a global PE firm backed by a blue chip and international investment firm. This is a perm role which offers good perks/ benefits.
Supporting a team of corporate heads including Chief Financial Officer, Head of Legal and Human Resources Director, as well as the finance team, the Executive Assistant plays an enabling role in ensuring optimal support for the office. The job function also includes the processing of payments (in finance) and liaising with the IT vendors.
**Responsibilities**
General Office Support:
- Calendar management for the corporate heads including travel arrangements and expense filing, coordinate meetings with internal and external parties
- Prepares and ensures readiness of meeting facility including IT connectivity and attends to arriving guests
- Travel logistics for offsite events
- Co-shares the responsibility with monitoring of office supplies
- Responsible for liaising with external IT service provider including but not limited to ensure timely resolution of IT issues and manage adequate inventory of IT equipment
Legal Admin:
- Assists with the scheduling of various Board meetings
- Liaise with external corporate secretary for resolutions and filing
- Drafting of standard correspondence
- Proofreading of correspondence and documents to ensure accuracy and completeness
HR Admin:
- Onsite HR support including the onboarding and offboarding of employees
- Supports general administrative duties including processing/ printing/ filing/ retrieving of corporate records, documents, and reports
Finance Admin:
- Tracks receipt of vendor invoices, validate with business users and update in the payments module of the accounting system
- Reconciles monthly credit card statements with claims submitted
- Prepares expense management reports
- Main liaison person for bank admin matters for e.g. change of bank account signatories
- Assists with finance operations including data entry and organisation of files and other ad-hoc finance projects
**Experience and Qualifications**
- Over 5 to 10+ years of experience in similar team secretarial/admin roles ideally with experience supporting a team and with some office management experience
- **Admin/secretarial experience supporting the Finance or Legal or HR function is preferred but not a must.**:
- **Experience working in FI/asset management/PE/professional service industry required**:
- **Some prior experience covering payment processing and liaising with IT vendors on IT issues is relevant but not a must**:
- Strong clerical skills including typing, word processing, mail and contact management, spreadsheets, and PowerPoint presentations
- Experience in financial and professional services is advantageous
- Demonstrated planning & organizing skills with ability to multi-task /multi-support
- Able to work independently and within a team, hands-on and resourceful, thrive in fast-paced environment
- Highly self-motivated self-starter
- High level of integrity with a diligent work ethic
- Meticulous attention to details
- Team player who is collaborative
- Strong written and oral communication skills
- Able to multi task well
- Take initiative at work
