**The Role (Office Administrator)**:
Privasec is looking for a self-starter who enjoys working with people, managing day-to-day operations, collaborating with a team of professionals. Reporting to the Regional Head of Asia and working closely to the founders, you will be a core member of the team organizing office operations and general administrative tasks. This will include being the main point of contact with external vendors and working closely with local and regional team on day-to-day admin matters and office operations.
You will take on the following supporting duties:
Admin, HR and Office Operation functions
- General administrative tasks such as coordinating schedules, and liaising with external parties such as building management and vendors
- HR functions
- Liaise with outsourced payroll vendor on payroll and leave matters
- Support the implementation of Safe Management Measures
- Managing the staff benefits such as birthday gift, medical plan, insurance
- Office operations
- Planning and supporting use of the office space
- Purchase office supplies, equipment and pantry items
- Support the organising of office events such as staff lunches, birthday, get-together
- Managing the office insurance
Accounts
- Monthly account reporting on expenses, AP, AR, petty cash, invoicing figures
- Review staff claims and arrange for reimbursement
- Payment of office bills such as utility, licensing, subscription, equipment purchase
- Liaise with outsourced accounting vendor on accounts matters
- Performing invoicing to our clients and monitor overdue invoices
Project Delivery
- Liaise with AUS and SG consultants and project managers on project delivery matters, keeping track of project billing milestones
Sales & Marketing
- Validate and update client’s data in our CRM
- Sourcing for opportunities in GeBIZ, SESAMi, other portals
- Support the Marketing team on the execution of campaigns and events in Singapore
**Minimum Requirements**:
- Fluent command of the English language with professional writing skills
- Professional and present yourself well
- Ability to liaise and communicate with a variety of stakeholders (junior to senior levels)
- Effective time management skills
- Excellent "follow-up, follow-on and follow-through” abilities
- Proactive and have a high degree of ownership and drive
- Previous experience in admin/secretariat/office operations duties
