The position of **Assistant Vice President (AVP) **assists the company’s Chief Operating Officer (“COO”) in client servicing and office management.
**Front Office Management**
- Assist in client account opening, maintenance and closing processes to ensure that relevant documentation/agreement/ authorization is in place
- Assist in the onboarding process of the company’s partners such as custodian banks, brokers, products/service providers and clients’ related projects.
- Carry out research and advisory, business development and marketing in support of client servicing.
- Conduct ongoing transactions monitoring and periodic Client Due Diligence reviews to identify red flags, if any.
- Ensure strict adherence to and compliance with regulatory directives/guidelines/notices to fulfil the duty of an appointed representative.
- Maintain records on client accounts, data, trades, custodians, brokers and partners.
**General Administration**
- Assist in the onboarding process of new hires, including access granting and procurement requirements.
- Manage procurement, coordinate appointments and meetings, as well as manage the calendars.
- Follow through on the maintenance agreements and contracts, including research on vendors/service providers for pricing and delivery options.
- Maintain a safe and secure working environment in the office premises.
- Organize the company’s events and conferences.
- Work closely with the COO of the company and act as her back-up coverage
- Liaise with Finance team on the issuance of invoices on applicable bills/fees for reporting and audit purposes.
- Monitor and follow-up on non-settlement aging reports
- Prepare and submit report to Finance team to facilitate board reporting.
- Coordinate with Group IT on overall office equipment.
- Maintain the systems used by the firm
**Qualification**
- At least 5 years of work experience within the industry or related field.
- Strong administrative, organizational and planning skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
