- Coordinate and manage crew schedules, ensuring optimal staffing levels to meet operational demands.
- Plan and execute crew changes efficiently while minimizing disruption to vessel operations.Monitor crew rotation cycles and ensure timely relief arrangements.

**3. Compliance & Certification Management**
- Ensure all crew members meet statutory and company-mandated training, certification, and medical requirements.
- Keep track of certificate validity and arrange necessary renewals in a timely manner.
- Ensure compliance with industry regulations (e.g., MPA, IMO, and Flag State requirements).

**4. Communication & Welfare Support**
- Act as a key point of contact for crew members, addressing their inquiries and concerns.
- Provide necessary information and support crew welfare needs.Ensure that crew members receive timely updates on company policies, operational changes, and training requirements.

**5. Crew Appraisal**
- Monitor crew appraisals and ensure they are completed upon sign-off or when a crew member is considered for promotion.
- Follow up with the vessel or superintendent to ensure timely appraisal submissions.
- Review crew performance and discuss re-employment suitability with the Crewing Manager.Maintain crew appraisal records, ensuring they are properly saved in crew folders and accessible when required.

**6. Crew Payroll Management**
- Handle the full set of payroll processing for both local and expatriate crew.
- Ensure accurate payroll calculations, including basic wages, overtime, allowances, deductions, and leave pay.
- Process and verify crew salaries in compliance with contractual agreements and statutory requirements.
- Follow up with the approvals to ensure the payroll is approved in the bank on time.
- Manage payroll discrepancies, salary adjustments, and off-cycle payments.Maintain accurate payroll records and generate payroll reports for management review.

**7. Budget & Cost Management**
- Assist the crewing manager in managing the crewing budget, including salaries, training, and travel expenses.
- Optimize cost efficiency in crew operations without compromising safety and compliance.Track crew-related expenditures and report variances to management.

**8. Interdepartmental Coordination**
- Work closely between crewing team and other departments to support operational needs and enhance crew management efficiency.
- Liaise with local agents, port authorities, and regulatory bodies as required.Contribute to policy development and process improvements in crew management.

**9. Emergency & Contingency Planning**
- Support emergency crew deployment or last-minute travel arrangements when needed.Support crisis management efforts in case of medical or operational emergencies.

**10. Data Analysis & Reporting**
- Maintain accurate crew records and databases for reporting and analysis.
- Analyze crew-related data and trends to identify areas for improvement.Maintain reports on recruitment, retention, training, and compliance.

**11. Ad-hoc Duties**
- Assist in special projects and assignments as required by management.
- Provide administrative support for audits and inspections related to crew management and compliance.
- Participate in company events, seminars, and training programs assigned.Undertake additional tasks and responsibilities as directed by the Crewing Manager.

**Requirements**:

- Minimum Diploma in Maritime Studies, Human Resource Management, Business Administration, or related field.
- Relevant maritime certifications (e.g., STCW, MLC) are advantageous.
- Minimum 3 years of experience in the Marine Industry.
- Have experience coordinating with crewing agencies.
- Knowledge of Maritime Labour Convention (MLC) regulations.
- Good organizational and communication skills.
- Ability to guide and coordinate with a diverse crew workforce effectively.
- Ability to work effectively under pressure and in a fast-paced environment.
- Able to independently plan a schedule with compliance.
