Tasks
**Responsibilities**:
1. Professional Executive Assistant to the President and
CEO
2. Perform secretarial function within the Senior
Management Team
3. General office management within the company
4. Direct supervision of Central Function Team Assistants
5. Leader of Secretary Committee in the company
**Main Tasks**:
1. Executive Assistant to the President and CEO
- Communication and liaison with other countries‘ EA
and with employees
- Operational and Administrative Tasks in the
**President & CEO office ( example**: prioritize tasks
and resources, scheduling, sign documents and
doing approval in the system, travel and claim
management )
- Organization and coordination of events that are
**hosted by the President & CEO ( example**: agenda,
hotel booking, arrangement of meeting rooms,
refreshment, update Welcome Board )
- Liaison of CorpSec matters for the company Board
Members.
- Raising of ePR on Direct Reports of President &
CEO
- Tracking of critical Tasks for President & CEO
- Maintaining and Ensuring of company
confidentiality
2. Perform secretarial function to the Senior Management
Team
- Minute writer
- Allocation of action points within TEAMS Task
(Kanban)
3. General office management within the company
- Organization of company stationery
4. Direct supervision of Central Function Team Assistants
- Orchestration and Allocation of task of the Team
Assistants to other departments
- Perform employee dialogue and goal setting
5. Lead of Secretary Committee in the company
- Engagement platform for Team Assistants
- Best practice sharing among Team Assistants
- Assignment of buddies
- Alignment of Goals setting, job scope, training
needs/courses
- Performance target, measurement via survey
- Being the bridge to the direct supervisors of the Team
Assistants
**Qualifications**:
**Competence Level**:
Strong knowledge of Secretarial duties
Excellent Administrative and Organization skills
Possess good communication skills and interpersonal skills
Problem analysis and solving skills with competency in digital skills
Kanban knowledge will be an advantage
Qualification
1. Degree or diploma holder of any discipline
2. Experience as an Executive or Personal Assistant to
management team for more than 5 years
3. Performed secretary function for more than 10 years
4. Proficiency in Microsoft Office toolsets
Personal Traits Requirement
1. Independent with strong decision making
2. Proactive in solution providing
3. Meticulous attention to detail with a quality mindset
4. IT and Social Media savvy
