Oversee and ensure the smooth operations and effective management of the building/estate
- Supervise and lead administrative staff and contractors/a team of personnel providing maintenance, security, fire safety, and car park management
- Responsible for daily maintenance and operations at the assigned condominium/property
- Effective management of the recreation facilities and common areas
- Effective Maintenance Fund collection
- Competitive tendering to ensure purchases and service contracts are on competitive terms
- Completion of insurance claims for any damages to the common property
- Expense management, to avoid overspending
- Recommend a sound budget for each year to determine the amounts to be collected for the Management Fund/Sinking Fund
- Ensure a high level of security, cleanliness, and housekeeping
- Ensure that members of the staff do not conduct themselves in a way that may bring the Management Corporation into disrepute
- In an emergency situation that occurs after office hours, ensure all concerned parties are contacted and recalled to attend and rectify/ reset the fault quickly.
- Prepare all tender documents, agreements, contracts, and other legal documents.
- Review all contracts, agreements, and insurance 2 months before their expiry and recommend renewal or call for quotation/ tender.
- Plan and carry out preventive building maintenance works for common facilities and properties.
- Recommend appropriate actions to be taken against defaulters with assistance from solicitors.
- Review of property for insurance purposes and recommend the sum insured for the various policies.
- Ensure that no member of staff takes personal advantage of privileged information obtained in the course of business.
- Ensure compliance with all applicable rules, regulations, and specifications regulating building maintenance and management
- Prepare correspondences, circulars, memoranda, or similar for the information of Residents/Subsidiary Proprietors
- Review and engage service providers through a proper approval system
- Handles renewal of term contracts and up-keeping of contractual records
- Convene and attend all Developer and/or MCST meetings (i.e. General Meetings, Council Meetings)
- Prepare all minutes and reports of meetings
- Ensure timely and prompt responses to complaints and requests.
- Review and submit monthly statements to the Management Council
- Conduct regular inspections with the term contractors to ensure that the services are carried out/maintained to the standard set by the Management/authorities.
- Submission of financial report to the MCST Council after the closure of each calendar month
- Ensure good record-keeping and filing administration
- Other job-related and ad hoc duties as assigned
