Our **Parent Relations Executive **will have a customer service mindset and a proactive attitude. This person will be an experienced team player who can work well with other departments and key stakeholders and will be quick to learn about the organisation and its goals. Our Parent Relations Executive will focus on maintaining a high-performing school Reception that is both effective and welcoming. Creating a positive experience for parents and visitors is of utmost importance You will work with different stakeholders on the following functions:
**Key Responsibilities**:

- Work closely with the receptionist(s) to provide excellent support on the front line, and actively collaborate with team members to identify areas of improvement for the workflow. Your insight and contributions will be of great value as we seek to develop and implement new procedures and features that will enhance our service delivery.
- Support the receptionist(s) in handling difficult situations:

- (i) Work closely with the receptionist(s) to develop a thorough understanding of challenging situations that may arise.
- (ii) Provide guidance and support to the receptionist(s) when facing difficult situations, ensuring a compassionate and professional approach is taken.
- (iii) Develop strategies and tools to defuse tense situations and diffuse potential conflicts, while maintaining a positive and respectful environment.
- Create a welcoming environment in the Lobby by greeting children, families, and guests to the School and preparing refreshments as necessary.
- Ensure that safeguarding policies are adhered to, particularly related to missing students and visitors’ access to the School.
- Maintain an up-to-date knowledge about the School and its and policies, so as to provide accurate information about the school on topics such as curriculum, concept, languages, policy, timings, calendar, facilities, fee structure, and classes.
- Ensure that voice messages on the school phone system are updated and accurate.
- Attend various staff meetings and record minutes.
- Other Parent Relations projects and administrative tasks (typing, photocopies, preparing school brochures, lost and found etc.) as required.
- Act in accordance with relevant legislation, as well as other guidelines, particularly with regard to educational provision, health and safety initiatives and safeguarding and ensuring that all students and staff maintain these standards.
- May be called upon to tour prospective families through the school if the Admissions team is unavailable to do so.

**Other Duties**
- Providing assistance for other parts of the school as required.
- Any other duties as assigned from time to time.

**Safeguarding**:

- Abide by the school safeguarding policy and keep abreast of any changes

**Qualifications/Skills**
- Diploma and above, with at least 3 years of relevant experience
- Excellent communication skills in order to liaise with stakeholders at all levels
- Ability to prioritise work, multi task and work in a fast paced environment
- Positive team player, championing the team’s and stakeholders’ needs
- Strong customer service management skills in the education industry or school setting preferred.
- Flexibility to work on some Saturdays when required
