**ROLE Operations & Admin Executive**
**Main Purpose of the Job**
- Provides assistance to the Operations Manager to process Purchase Orders from customers across Asia Pacific and work closely with our HQ in Germany to ensure the orders are produced, picked, packed and shipped correctly
- Supports Finance manager with upkeep of invoice/shipping document systems
- Maintains office by ordering office supplies/stationery, manage copier machine, liaise with cleaning company
**Key Outputs**:
**Order Processing, including but not limited to**:
- Manage the scheduling of customers’ orders on a timely manner by processing and sending Pos from customers across Asia to HQ in Germany for processing
Update internal software system for product demand after receipt of PO
Ensure prices are correct before sending PO to HQ
Liaise with HQ on items availability before the warehouse in Germany packs the pallets for shipment
- Check the export/shipping documents and ensure all item descriptions are correct and standardized across all documents Ensure all shipping documents are complete including the Bill of Lading. Then invoice the customer for the freight charges
- Product Packaging Tracking - track supplies of packaging and alert manager when running low
- Track production and arrival dates of Vitakraft Asia recipe specific products
- Data entry to SAP for sales invoices, credit notes and purchase invoices
- Assist to solve Shipment miscellaneous issues for example product damage upon arrival, short shelf life
- Supports Finance manager with upkeep of invoice/shipping document systems
- Maintains Office running via ensuing answering telephones, and managing contracts and workings of telephone, wifi, copier machine, air con, office cleaning, supply of stationery/beverages
- Assist management team in drawing strategy and budget planning analysis

- Asia Pacific HQ team in Singapore
Vitakraft Business Managers in Taiwan, Korea and China
- Vitakraft HQ’s Export Team in Germany
- Distributors and customers in Asia Pacific
**Key Experiences**:
- Polytechnic Diploma (preferred)
Administrative Experience : 1 year (preferred)
Excel, Word, Microsoft Office. Computer systems like Autocount, SAP (willing to learn)
- **Languages**: Mandarin, English
- Additional preferred but not required languages : Cantonese, German, Korean
**Job Types**: Full-time, Contract
Pay: $2,500.00 - $3,500.00 per month
