Our Singapore campus in One-North is currently recruiting for a Operations & Campus Services (OCS) Coordinator in the Campus Services Department that takes care of the running of the school. The OCS Coordinator acts as the first point of contact for visitors and telephone enquiries. Dealing with staff, faculty members, visitors, MBA students and programme participants, the OCS coordinator assists in handling them and contributes to their satisfaction by providing a quality service. This is a full-time and permanent position.
Key Responsibilities include:
Managing the main reception to ensure quality service is rendered to all stakeholders.
Handling notification of COVID positive cases, contact tracing, badge deactivation, COVID-related inventory and any other Safe Management Measures, as part of the COVID Operations Team.
Following-up on requests by campus users and outsource teams by ServiceNow (our service request software).
Handling pre-planning of events and activities on campus with the relevant departments and ensuring that they run smoothly and is in line with internal policies.
Assisting in the creation of cardholders and troubleshooting of ID Badges issues by campus users.
Handling the Asset tag printing and liaising with Residences, Restaurant, Fitness and Project managers on newly purchased and to be disposed furniture or equipment.
Handling room booking needs.
Creating, archiving and disseminating campus signages, notices and posters.
3 years experience in an office/administrative setting.
Experienced in coordinating and/or administrative responsibilities.
Able to liaise with internal and external stakeholders, with excellent communications skills.
Good level of written and spoken English.
Proficient in MS Office. Advanced knowledge of excel is a plus, and this includes experience with spreadsheets, graphs, tables, calculations, and automation to process large quantities of data. In addition, INSEAD uses a large number of internal platforms. Ability to adapt to them quickly will be essential.
Experience of ServiceNow is a plus but not essential.
Experience working in a coordination function for a school or similar function would be a plus.
