Our client is a Japanese trust bank with a global presence through a worldwide network of branches and subsidiaries in Asia, Europe, and the United States. They are looking for an Officer/Senior Officer (General Affairs) (Japanese-Speaking) to assist in Expatriates' Management, Expense budgeting and Administration functions.
【 What you will be doing 】
- Co-ordinate with Japan Head Office on expatriate placement and make arrangements for incoming/outgoing expatriates for their travel, hotel and housing arrangements.
- To work closely with Compliance Group to ensure all Tenancy Agreements are concluded swiftly and in line with recommended in-house rules and regulations.
- Expatriates’ monthly payroll administration including arrival, leaving allowance, etc.
- Partner with business units to obtain information for budget preparation. Consolidate and analyse variances against the budget and check with relevant business units to provide explanations for key variances.
- To translate Japan Head Office requests and enquires from Japanese to English or from English to Japanese from Singapore Office to Japan Head Office.
- To translate and update Japan Head Office policies from Japanese to English for the team members
- Keep track and update Japan Head Office policies/manuals, Organization Chart, etc
- Weekly background check for employees (e.g world check, Bankruptcy Search).
- Liaise and ensure the Company’s Corporate Secretary lodges and files in time all necessary documents required by law (e.g changes in director’s particulars, etc)
- Arrangement of access authorization to our DR site at NCS including checking of monthly access list against our record.
- Administration support (e.g managing General Manager’s calendar such as appointments and meetings, attending to telephone, fax, mailing, courier, etc
- Perform other and ad-hoc duties as assigned by the Chief Manager

- Minimum Diploma in any discipline
- Minimum 2 - 5 years of administrative experience preferably with some HR/Accounting experience
- Proficiency in both written and spoken Japanese (JLPT N2) to work closely with Japanese stakeholders and clients in the related unit or division in Japan Head Office.
- Proficient in MS Excel is mandatory
- Able to work independently, possess good interpersonal and communication skills and a team player
- Good time management and multi-tasking
- ** Working Hour**: 8:30 ~ 17:30
