**APAC Event Coordinator, Global Meetings & Events**

The Event Coordinator will be responsible for supporting our APAC Program Manager and Event Managers in all aspects of project execution and coordination of logistics (e.g., shipping, receiving, inventory management). Additionally, the role will provide full project financial reconciliation, including tracking SAP actuals, internal costs, and vendor invoices. The Event Coordinator will be expected to utilize our Global Meetings & Events technology solutions to fulfill job duties (e.g., Cvent, EMS, Guidebook). This position reports to the APAC Program Manager and will work with extended team members from Global Meetings & Events.

**Function Related Activities/Key Responsibilities (Top 5-8 core responsibilities)**
- Project financial reconciliation, including tracking SAP actuals, internal costs, vendor invoices
- Processing purchase orders request, (invoices, goods receipts, vendor payments and follow-up)
- Setting up vendors in our Procure to Pay system
- Reconcile monthly Visa purchasing card and American Express statements
- General project support (administrative tasks and assistance with meetings and events)
- Project related shipping, receiving, and inventory management
- Create and maintain regular event status reports and post-event recap / debrief reports
**Education Requirements**: Bachelor’s Degree Preferred

**Related Work Experience**: 3-5 years of event coordination experience or comparable work experience

**Travel**:

- Travel may be required (less than 1%).
- Weekend and evening work will be required depending on events being supported. As this is a salaried non-exempt role, overtime will be provided in these instances.
**Functional Skills**:

- Self-Motivated and directed, requiring mínimal supervision for successful assignment completion.
- Ability to manage multiple projects and prioritize key deliverables.
- Strong written, verbal communication and presentation skills, with ability to provide relevant information to internal and external stakeholders at all levels.
- Exercises good judgement, makes effective decisions in a timely manner and balances current and future needs. Demonstrates problem-solving capabilities.
- Requires high attention to detail; strong organization, customer service, and client management skills; and ability to work in a dynamic, fast paced environment.
