**Executive Secretary, Supply Chain**:
- Reporting directly to the VP, Supply Chain Asia Pacific and this Executive Secretary is responsible for all executive, administrative support and assisting in facilitating coordination at local, regional, and global level working closely with APAC Supply Chain leadership team.**The Position**:
- Organize, manage and co-ordinate appointments and meetings for VP, Supply Chain at local, regional, and global level and external as required
- Assist in receiving guests and coordinate their agenda for onsite site visit
- Maintain and ensure VP, Supply Chain’s calendar schedule is always updated and coordinated for Global, Regional and Site meetings and “ad hoc” requirements
- Assist in re-directing VP, Supply Chain’s correspondence to respective function for follow-up action as necessary and ensure holiday periods are covered as agreed with VP, Supply Chain
- Coordinate with the regional team and update Supply Chain organization charts and Task Forces as necessary
- Compile data and prepare monthly reports for distribution to all relevant stakeholders
- Prepare travel itinerary and make travel and accommodations arrangement for all SC/Ops staff and cover whole SG organization when other secretaries on leave.
- Perform administrative tasks including screening calls, drafting letters, processing, and verifying invoices / expense claims, arranging birth/get well baskets/ wreaths and generally following up open items for SC/Ops Teams
- Perform office tasks include ordering stationery and pantry supplies and on-boarding for new SC/Ops staff
- Assist in annual budgeting process and consolidation
- Assist in organizing Regional Operations Workshop
- Assist in organizing Singapore Teambuilding events
- Assist in preparation of SC/Ops monthly “100+ call”
- Assist in organizing events for Supply Chain sponsored by VP, Supply Chain
- Business degree or equivalent, with a minimum of 8 years of relevant working experience.
- Ability to organize and prioritize work in a fast-paced environment with multiple assignments and good time management.
- Driven and focused, resourceful with strong problem-solving skills, detailed oriented.
- Versatile with strong interpersonal skills, ability to build strong relationships with key stakeholders with attention to details.
- Excellent verbal and written communication skills.
- Pro-active and self-starter/independent personality individual.
- Experience working with regional stakeholders across APAC is an added advantage.
- Highly proficient in MS Office Application suite.
