**Job Scopes**:

- The following job duties outline the collective responsibilities of the Operation Team within the DC. Each team member will have primary responsibilities allocated, complementing the duties of others. However, given our status as a new start-up, flexibility is key, and all team members are expected to lend support across additional scopes when necessary._

**Key Duties of Operation Team**:

- Oversee daily operations in Dialysis Centre to uphold the safety and well-being of patients, staff, and volunteers.
- Collaborate closely with multidisciplinary teams, including Nursing, Medical, Social Services, and HQ Office (e.g., Finance, Procurement, Facilities Management, General Affairs), to plan and achieve operational objectives and streamline workflows. Responsibilities encompass Facilities Management, Procurement and Inventory Management, Asset and Vendor Management, as well as Administrative and Clerical Support.
- Establish SOPs and best practices for DC operations, providing training to newly on-boarded staff and volunteers as necessary.
- Keep abreast of relevant healthcare regulations and industry standards, ensuring compliance

**Facilities Management**
- Ensure that the DC’s physical infrastructure is well-maintained and meets safety and operational standards.
- Supervise environmental maintenance tasks conducted by vendors, including cleaning services, high dusting, pest control, waste collection, and biohazard disposal, to maintain cleanliness and hygiene standards.
- Work closely with Facilities Management officers from HQ and relevant service providers in managing facilities issues.
- Coordinate repairs and servicing of all centre equipment to ensure optimal functionality and minimize downtime.

**Procurement and Inventory Management**
- Manage DC’s inventory, including regular ordering of medical consumables and drugs, planning and monitoring storage space, receiving stocks, and tracking stock movement.
- Manage the procurement process for equipment, assets, and stationeries to support DC operations, including gathering requirement specifications, sourcing and analysing quotations, placing order through Norming system, ensuring prompt delivery and invoicing, quality checking, and processing payments.
- Support procurement for items needed for ad-hoc events or programmes at DC (eg. Opening Ceremony, Renal Friends Gathering, Festive Charity Distribution etc.)
- Collaborate closely with the nursing team and external vendors to establish efficient procurement and inventory workflows, ensuring smooth treatment provision and maintaining service quality for patients.
- Implement cost-effective procurement strategies to optimize resource utilization and maximize operational efficiency.

**Asset and Vendor Management**
- Establish and nurture relationships with vendors supplying goods and services to the DC.
- Work closely with Procurement and Facilities Management team in HQ in sourcing and evaluating potential vendors, including annual Vendor Evaluation exercise.
- Assist vendors through the New Vendor Application process, act as a liaison between vendors and internal departments to ensure smooth communication and alignment throughout the process.
- Monitor vendor performance and compliance with contractual agreements, addressing any issues or discrepancies as they arise.

**Administration and Clerical**
- Maintain accurate and up-to-date records and documentation pertaining to operations, finances, procurement, and facility management. This includes but is not limited to records for Cleaning Services, Pest Control, Facilities and Equipment Maintenance, Biohazard Consignment Notes, Medication Fridge Temperature Monitoring, staff training records, and any other information required for operational compliance within the industry.

**Job Requirements**:

- Demonstrated basic proficiency in written and verbal communications skills in English and Chinese, which is highly valued due to our engagement with patients from various ethnic backgrounds and predominantly Mandarin-speaking volunteers.
- Ability to work collaboratively in a team environment and independently when necessary
- Strong organizational skills and the ability to multitask effectively in a start-up environment
- Attention to detail and accuracy in completing tasks and documentation
