The Admin Exec works closely with Office Manager and School Leadership to support the school community (students, parents and school staff). This position requires excellent customer service, administrative work and basic book-keeping. Essentially this position requires the building of strong relationships with the school's stakeholders. Duties and job scope include but are not exclusive of:
- Report directly to Office Manager
- Assist Office Manager in daily operations as assigned
- Man the reception and welcome parents/students/guests
- Collaborate with vendors and suppliers
- Support teachers’ administrative needs through filing, photocopying, relaying information from parents/students, coordinating schedules, etc.
- Assist Office Manager in maintaining Edutrust Manuals, standard operating procedures and relevant documentation in line with EduTrust requirements
- Provide and manage administrative support needed by the school
- Continually enhance the administrative systems and processes in the school in consultation with the Principal
- Maintain and keep up to date all student information in school management system and hard copy student admin folders
- Maintain and keep up to date staff information on school management system and Dropbox
- Invoicing and issuance of receipts
- Monitor and respond to parent/customer inquiries (during school term and when on holiday at least once per week)
- Attend to front desk matters
- Maintain cleanliness and aesthetics of front desk, waiting area and admin room
- Maintain and keep up to date files, folders (whether digital or hard copy)
- To maintain or enhance the student administrative and learning support services
- Update staff on changes in routine, events, information relating to students/parents/vendors/other day to day operations
**Job Requirements**:
- Required skill(s): excellent written and verbal English, excellent time management, excellent customer service skills, basic accounting, basic book-keeping, excellent organizational skills.
- At least 2 year(s) of working experience in the related field is required for this position.
- Preferably Junior Executives specializing in Customer Service, Clerical/Administrative Support or equivalent.
- Full-Time position(s) available.
- Minimum 2 year commitment to Company with premature termination resulting in repayment to Company for training and damage
