Operations Support
- Handling all operation-related documents (e.g. creating stock files, documents for insurance cover notes, matching BVIs to invoices)
- Invoicing customers for annual insurance and annual road tax renewal
- Competent in using GDMS (extracting information, creating new stock information)
- Prepare and submit monthly Standby Duty Report to HR for the purpose of standby allowances to be paid via payroll.
- Ensure Purchase Order are properly raised & tracked for each job order and accurately administered in Saleforce so that monthly Repair & Maintenance cost are tallied with finance’s figures
- Maintaining, tracking and ensure of vehicles which are due for inspection and road tax renewal are timely inspected and renewed to avoid late fines
- Conduct timely check on government websites (LTA, Police, URA, HDB, Sentosa) for outstanding traffic summons to avoid incurring of late fees
- Ensure traffic summons of respective vehicles are correctly forwarded to respective departments
- Liaising with SDIB and Contego for insurance admin matters
- Ensure and administer new vehicle purchase
- Ensure all monthly invoices are meticulously sent over to DXC and are documented
- Performing of any ad-hoc assignments as required (e.g. photocopying, scanning, faxing of documents, mailing and reposting of invoices or contracts, covering of Admin Assistant Executive duties while he/she is on leave)
Chauffeur-Drive Support
- Preparing Job Batches for Chauffeur Drive Corporate jobs
- Assist to preparing pre-event (fleet management) inventory
Admin Support
- Delete / Add / Modify users on copier machine
- Phone system
- Taking minutes for operations and chauffeur-drive meetings
- Ensure duty phones are properly tracked and handed over to respective personnel
- Ensure there are enough supplies of pantry items
- Assist or work together with Admin Assistant Executive to track office supplies/stationeries
- Requisition of new users for GDMS/ Web Client
- Raise Purchase Order on ad-hoc basis for miscellaneous items such as water supplies, light bulb replacement fee etc.
- Monthly requisition of Business ACRA
**Requirements**:
- Min O level and above with 1-2 years of relevant work experience.
- Experience in automotive experience will be an added advantage
- Proficient in office skills
