We are seeking to hire a Team Assistant to support the Investment Group in secretarial and administrative work. The individual should be adaptable to a dynamic work environment, proactive in undertaking diverse tasks and have a good attention to detail. This role offers the unique opportunity to join a fast-growing and dynamic organisation in Singapore.
**Role and Responsibilities**
Executive Support to the Investment Group:
- Support the Investment Group members in full spectrum of secretarial/administrative work
- Manage calendar of Head, Investment Group and Investment Directors and be responsible for scheduling and deconflicting meetings, conference calls, video conferences both internally and externally
- Manage logistics including meeting room bookings, agenda and document compilation for meeting
- Tracking of corporate card expenses and out of pocket business expenses and claims for the Investment Directors
- Processing of invoices for Investment Group transaction expenses
- Tracking of Investment Group expenses in terms of travel and transaction fees
- General ad-hoc duties e.g. assisting in preparation and printing of presentations, documents & proposals, logistics, set up for meetings
Investment Committee Support and Liaison:
- Serve as the primary liaison to the Investment Committee
- Coordinate regular Investment Committee meetings as required
**Requirements**:
- Minimally 5 years of experience providing full secretarial support
- Ideally at least a GCE ‘A’ level certificate or polytechnic or equivalent diploma holder
- Advanced MS Office including Word, MS Outlook, Excel, PowerPoint
- Proven team player with a proactive style, takes initiative and with the ability to work independently
- Strong interpersonal skills and able to build rapport with Investment Group members and executive assistants for other stakeholders
- Strong communication skills at all levels
- Strong written and spoken English
- Self-motivated, organized and strong attention to details
- Diligent and willing to work beyond normal office hours, where required
- Ability to think analytically
