Roles & Responsibilities Maintenance and Repairs: Overseeing the regular maintenance of facilities, equipment, and infrastructure (e.g., HVAC systems, electrical, plumbing). Ensuring that preventive maintenance schedules are adhered to in order to minimize downtime and costly repairs. Coordinating and supervising repairs, renovations, and upgrades to the facility when necessary. Managing relationships with external contractors and service providers for repair work. Health and Safety Compliance: Ensuring that the facility complies with all relevant health, safety, and environmental regulations. Implementing and maintaining safety programs, fire prevention measures, and emergency response plans. Conducting regular safety inspections and risk assessments, and taking corrective action where needed. Training staff on safety protocols and ensuring adherence to safety procedures. Budgeting and Financial Management: Developing and managing the facility's operational budget, including maintenance costs, utilities, and services. Monitoring expenses to ensure that they are in line with the budget. Identifying opportunities for cost savings, such as energy efficiency or renegotiating contracts with service providers. Vendor and Contract Management: Managing relationships with vendors, suppliers, and service providers for cleaning, maintenance, security, and other services. Negotiating contracts and ensuring that service level agreements (SLAs) are met. Evaluating vendor performance and making changes when necessary to improve service quality or reduce costs. Space Planning and Utilization: Ensuring optimal use of space within the facility, including office layouts, workspaces, storage, and common areas. Planning for future needs based on company growth or changes in operations, which may include managing relocations, expansions, or downsizing. Overseeing furniture and equipment installations or relocations. Energy Management and Sustainability: Implementing energy-saving initiatives to reduce the facility's environmental footprint. Monitoring energy usage, waste management, and water consumption to improve efficiency. Developing sustainability policies that align with corporate social responsibility (CSR) goals. Security and Access Control: Managing facility security, including access control systems, CCTV, alarms, and personnel. Ensuring the protection of staff, visitors, and assets within the facility. Coordinating with security teams to handle incidents and improve security measures when needed. Cleaning and Housekeeping Services: Overseeing cleaning and janitorial services to maintain cleanliness and hygiene standards across the facility. Ensuring that cleaning schedules are in place and that all common areas, restrooms, and workspaces are properly maintained. Managing inventory of cleaning supplies and consumables. Staff Management and Leadership: Leading and managing a team of facility staff, including maintenance workers, cleaners, and security personnel. Conducting performance reviews, providing training, and supporting the development of team members. Assigning tasks, setting priorities, and ensuring that the team meets operational targets. Crisis and Emergency Management: Developing and implementing contingency plans for emergencies such as natural disasters, power outages, or security breaches. Leading the response to emergencies and ensuring the safety of all building occupants. Regularly conducting emergency drills and updating protocols based on lessons learned. Technology Integration: Implementing facility management software systems for tracking maintenance, managing work orders, and monitoring asset performance. Using data analytics to monitor facility operations and identify areas for improvement. Stakeholder Communication: Acting as the primary point of contact for internal stakeholders, such as department heads, to ensure that their facility needs are met. Reporting on facility performance and addressing any concerns raised by occupants or senior management. Providing regular updates on facility projects, renovations, or issues that affect the operation of the business.
