Senior Shipping Coordinator Job Description

We are seeking a highly skilled and organized Senior Shipping Coordinator to join our team. The successful candidate will be responsible for ensuring the efficient and accurate processing of shipments within our organization.

This role involves coordinating all aspects of the shipping process, including order fulfillment, documentation, and communication with freight forwarders, carriers, and customers. The ideal candidate will have excellent problem-solving skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.

Key Responsibilities:

  • Review and process customer orders for shipment by coordinating with the production planner and warehouse team to execute the shipping schedule, ensuring timely packing, dispatch, and on-time in-full (IOTIF) delivery.
  • Schedule and manage shipments with carriers and freight forwarders.
  • Track shipments and provide updates to stakeholders regarding shipping/delivery status and assist in resolving any shipping-related issues.
  • Prepare and maintain shipping documents accuracy, including bills of lading, airway bills, customs documentation, and shipping invoices verification.
  • Ensure compliance with shipping regulations and company policies.
  • Generate shipping reports and analyze shipping data to identify trends and areas for improvement.
  • Download shipment temperature excursion data and assist in investigation.
  • Maintain accurate records of shipping activities and expenses.
  • Prepare COO and DG documentations for shipment declarations.
  • Perform invoice verification.
  • Monitor shipping consumable/supplies inventories (e.g., Temptales & Controlant) and ensure stock availability for shipping use.

Requirements:

  • GCE 'O' level or equivalent with relevant experience in a manufacturing environment is preferred.
  • Knowledge of Good Manufacturing Practices (GMP) and Good Documentation Practice.
  • IATA certification or IMDG certification is a plus.
  • At least 1 year of related work experience.
  • Good understanding of procedure/document system used for materials movements.
  • Attention to detail with ability to accurately follow written and verbal instructions.
  • Good communication skills and the ability to work collaboratively in a team environment under pressure.
  • Able to speak, read, write, and understand simple English and perform basic mathematics.
  • Basic SAP Knowledge (preferable).
  • Experience in shipping line or freight forwarding line is a plus.
