We are seeking an energetic and results-orientedProject Administrative Assistantwho coordinates all project activities. Responsible for scheduling regular meetings, creating and updating procedures, ensuring that all projects meet quality standards and deliver on time. Project Admin duties include maintaining relationships and communicating project activities to project sites for scheduling meetings, recording decisions, and breaking projects into manageable tasks. Update workflows and analyze risks, handling all incoming telephone calls and others.
Roles & Responsibilities
Project management : Support project managers by managing schedules, preparing for meetings, and taking meeting minutes.
Project documentation : Manage project documentation, including preparing documents for permits and ensuring they're available to all relevant parties.
Project reporting : Prepare project reports and update project managers on progress.
Project budgets : Assist with compiling and overseeing project budgets, ensuring expenditures are within budget.
Project risks : Ensure data collection of project risks is identified and handled appropriately.
Project communication : Maintain communication with project team members and the production team.
Project resources : Liaise with contractors and suppliers to ensure the project has the necessary resources.
Project quality assurance : Ensure the team complies with required regulations.
Project contracts : Manage contracts and process paperwork.
Project invoicing : Ensure invoices and payments are processed properly.
Skills & Requirements:
Minimum 1 year of working experience, preferably in a Retail fit-out/Commercial interior design firm.
Knowledge in interior design will be an added advantage.
Ability to work as a team and independently.
Strong interpersonal, oral, and written communication skills.
