Caterpillar Finance Services Division currently has an opportunity for an experienced Account Specialist to join the team in Singapore. Job Summary Position in the Order Fulfilment team, the incumbent is responsible for the management of prime product orders and related attachments received from assigned dealers within the Asia Pacific Region, on behalf of the Electric Power, Marine, Oil & Gas, and Industrial business units within Energy and Transportation. What You Will Do Primary dealer’s contact for order fulfilment queries, maintaining a good level of customer satisfaction and communication. Order follow-up; entry-build-delivery-invoice and maintain communication liaison between factory, divisional work team, and customer. Ensure orders are processed within company guidelines, policies, and procedures of assigned territories. Follow up with factories, shipping arrangements in close cooperation with forwarders, issuance of shipping documentation, certification, handling letters of credit, and invoicing. Understand various terms and procedures related to prime product export documentation and invoicing. Administer supporting processes used within the Orders group such as finished goods stock processes, insurance claims, website updates, department documentation, and reports. Maintain working knowledge of all online prime product sales related systems used for processing dealer orders, reporting sales, shipping, and collection (EOMP, SAP). Maintain good ongoing communications and relations with dealers, handling their inquiries expediently and accurately. Liaise with management and other departments regarding new policy and procedure introductions relating to the account coordinator role. Manage regional specific activities where appropriate – e.g., approval of discounts, commercial invoice processing, supplemental invoices. Travel to dealer premises to train new staff, introduce new processes, and deliver presentations (Limited business travel - less than 5%). Communicates the importance of customer needs/expectations and commits to resolving them. Researches and verifies customer needs and expectations. Meets regularly with customers to understand their wants, needs, and expectations. Effective Communications: Understanding of effective communication concepts, tools, and techniques; ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviors. Delivers helpful feedback that focuses on behaviors without offending the recipient. Listens to feedback without defensiveness and uses it for own communication effectiveness. Makes oral presentations and writes reports needed for own work. Relationship Management: Knowledge of relationship management techniques; ability to establish and maintain healthy working relationships with clients, vendors, and peers. Provides prompt and effective responses to client requests and interactions. Monitors client satisfaction levels on a regular basis. Alerts own team to problems in client satisfaction. Works with clients to address critical issues and resolve major problems.
