Position Summary
The Customer Care Specialist is responsible for order management until fulfillment and responding to customer inquiries via email, phone, or face-to-face in a swift manner. They will serve as the contact point for internal and external customers, coordinate and collaborate on all customer orders promptly and efficiently. Ensure all deliveries are properly communicated to all parties, coordinate with Logistics/3rd parties for seamless deliveries, and handle customer inquiries, complaints, and feedback promptly to achieve high customer satisfaction.

Responsibilities and Duties:

  • Process orders and ensure timely and accurate fulfillment and delivery.
  • Acknowledge customer emails regarding queries, feedback, or orders within one working day.
  • Follow up with customers to ensure satisfaction and identify future requirements.
  • Investigate and resolve customer complaints/feedback, escalating to senior staff as needed, while working with Regulatory & QSHE teams independently.
  • Ensure the availability of certificates of analysis/compliance and apply inspection statuses.
  • Prepare and disseminate customer reports timely and accurately.
  • Maintain sales data and customer contact database.
  • Keep organized filing and retrieval systems for easy access to documents.
  • Adhere to management systems and standard operating procedures consistently.
  • Participate in continuous process improvement projects as needed.
  • Ensure compliance with safety rules and measures as per WSH Risk Assessment.
  • Participate in safety and environmental protection practices, including the use of PPE and pollution prevention.
  • Perform other duties as assigned.

Knowledge and Skills Requirements:

  • Minimum GCE ‘O’ level or Diploma.
  • At least 2 years of relevant industry experience for senior roles.
  • Effective communication skills, attentive listening, and teamwork.
  • Well-mannered, empathetic, approachable, disciplined.
  • Calm and patient, especially in complex situations.
  • Ability to react well under pressure in a changing environment.
  • Proficiency in Microsoft Office.
  • Adherence to company policies, confidentiality, and professional conduct.
