Position: Admin Specialist
Position Overview : We are looking for a resourceful and adaptable Admin Executive to manage essential administrative functions and handle simple invoicing tasks. In this role, you’ll be wearing multiple hats and working closely with a small, motivated team to ensure our warehouse operations run smoothly.

Work Hours:
Monday to Friday 8am to 5pm, Saturday 8am to 12pm
Responsibilities:
Office Administration:
Manage basic Accounts Payable/Receivable tasks, ensuring all invoices are properly recorded and accessible for audits.
Create and process simple invoices for customers and review quotations from suppliers, as needed.
Maintain records for service reports of equipment maintenance.
Support follow-ups on outstanding payments and resolve billing discrepancies by liaising with internal team, customers and suppliers.
Warehouse Administration:
Manage daily warehouse operations by updating records of inventory, shipments, and receipts in the warehouse management system (WMS).
Coordinate with internal teams and external clients regarding orders, schedules, and delivery requirements.
Monitor inventory levels to ensure accuracy and reconcile discrepancies.
Plan regular cycle counts and assist with annual inventory audits.
Manage ordering of warehouse/office consumables e.g., labels, shrink wrap, ink ribbon.
Ensure all records and procedures comply with regulatory standards (e.g., HACCP, GDPMDS).
Maintain safety and cleanliness standards in line with company policies.
Act as the main point of contact for customer inquiries related to inventory, order status, and billing.
Work with the operations team on customer complaints and escalate issues when necessary.
Build and maintain positive relationships with clients to support long-term partnerships.
Assist in setting up and refining administrative processes for the warehouse.
Handle ad hoc tasks assigned as needed in a fast-paced environment.
Experience Required:
Relevant tertiary education in logistics, supply chain management, business administration, or a related field.
Minimum of 3+ years of experience in warehouse administration, preferably in a cold chain or 3PL environment.
Knowledge of office administration and basic accounting practices.
Skills and Competencies:
Knowledge of regulatory standards for cold storage operations (e.g., HACCP, GDPMDS).
Experience with ERP systems is an advantage.
Proficient in English and native second language ideal (preferably Mandarin).
Strong organizational and multitasking abilities.
Proficiency in warehouse management systems (WMS) and Microsoft Office Suite.
Excellent communication and interpersonal skills.
Attention to detail and problem-solving abilities.
Familiarity with 5S and lean principles.
Strong vendor management and communication skills.
Ability to work cross-functionally and as part of a team.
Broad thinking – Ability to think beyond own area of responsibility.
