Detail‑oriented, able to meet tight deadlines. Proficient in Microsoft Office (Excel, Word, PowerPoint, Project) and other relevant project management software. Roles & Responsibilities Work Planning and Risk Management Actively manage operational risks arising from project work, maintaining a live risk register updated weekly. Raise any project activities that create operational risks or issues, including impairment of normal system operation. Ensure work will not adversely impact the live office environment; obtain approvals for work management requests via designated systems (PTW, technology access, BMO/CMR change management, etc.). Run weekly meetings to review PTW submissions with contractors, consultants, project management, client FM and vendors. Site Work Management Supervise site works to prevent risk or adverse impact to business operations, ensuring critical rooms are supervised at all times. Escalate on‑site operational issues following FM incident management/crisis handling protocols. Witness all T&C activities and highlight risks/issues/defects that may affect operations. Issue project work progress postings at appropriate frequency. Maintain up‑to‑date on‑site documentation (distribution board schedules, cable and asset labelling, BMS and Fire PC graphics, etc.). Meetings Participate in project meetings, design reviews and provide operational management inputs. Attend site work inspections, defects snagging/rectification inspections and hand‑over inspections. Run a weekly coordination meeting with client FM and vendor team to review the weekly report and discuss open action items or risks. Reporting Prepare a weekly report summarizing project schedule, phasing plan, construction plan, weekend works, risk register, FM action items, hoarding/dust prevention plans, defect reporting, air quality, etc. Report status of FM Operational Readiness and FM Migration Readiness checklists. Design/Construction/LEED Reviews Review and provide inputs on design and construction issue drawings from an operations perspective. Keep the FM team aware of findings and facilitate design review sessions with consultants. Participate in LEED (or equivalent) documentation review from an FM perspective. Develop a tracker of all FM obligations working with LEED consultants for post‑hand‑over use. Handover Process Manage handover process as construction approaches completion. Ensure marked‑up construction issues are submitted with space handovers until final as‑built drawings are submitted. Document defect liability period arrangements, defect rectification timelines, and track defects from handover inspection to post‑handover defects. Ensure hand‑over documentation submissions are tracked, reviewed, and final approval received. Arrange training for onsite FM team and client security departments on fire system operation. Support setup/update of the site in Facilities Management systems. Engineering Responsibilities (Applicable to this project role) Review and provide inputs on design and construction issue drawings from an operations perspective. Ensure proper management and updating of all as‑built drawings, operations and maintenance manuals. Review T&C documentation to ensure testing scope covers all systems to be handed over to FM and highlight risks/issues/omissions. Property Management Responsibilities (Applicable to this project role) Coordinate cleaners/movers for floor sweeping and disposal during in‑situ works. Support air quality management within the office environment during construction as necessary. Coordinate with the move manager from the Project Team for phasing and move plans. Project Resource Shift Pattern Weekend: 9 am to 6 pm Weekday: Morning 5 am–2 pm, Evening 1 pm–10 pm Non‑fixed rest day: 2 days per week (1 weekend day & 1 weekday) Shift work hours: 8 hours work, 1 hour rest #J-18808-Ljbffr
