Job Description
The PMO (Project) role involves budget tracking, vendor/supplier management, reporting, and project coordination. The ideal candidate will support project managers in financial planning, governance, and process optimization while ensuring effective communication across stakeholders.
Responsibilities
1. Budget Tracking and Reporting
Publish budget reports, tracking month-on-month budget utilization.
Ensure project budget accountability with Project Managers.
Track expenses, manage expense gaps, and validate planned vs. actual vs. adjusted expenses.
Highlight discrepancies and overspending.
Manage budget-related risks, including raising, maintaining, monitoring, and mitigating risks.
2. Vendor/Supplier Management
Support internal contract management, including legal clearance processes.
Assist in vendor/supplier contracting and e-Memo processes.
Manage vendor/supplier invoice processing, including timesheet review and optimization.
Work with Project Managers to review timesheet entries and activities.
3. Reporting & Governance
a) WSR/Fortnight Management Meetings
Schedule and manage logistics for meetings as per project governance.
Conduct pre-consultations with stakeholders as required.
Draft, review, and publish status reports and meeting minutes.
Track and assign action items, ensuring follow-ups until closure.
b) Steer Co Meetings
Schedule and manage logistics for Steer Co meetings.
Conduct pre-consultations with stakeholders.
Draft, review, and publish Steer Co decks and meeting minutes.
Consolidate, assign, and track action items to ensure closure.
4. Project Management Support & Coordination
a) Support for Project Managers
Maintain and track the RAIDS (Risks, Assumptions, Issues, Dependencies) register.
Assist in maintaining the stakeholder matrix and communication plan.
Support new project initiation activities.
Aid the Program Manager in financial planning.
Draft and submit applications for Kessai processes.
Support Project Managers in Kessai drawdown planning, review, and approval.
Track action items and program activities through a TO-DO tracker.
b) Resource Demand Management & Supply
Manage demand forecasting and fulfillment for the program/project.
Create and maintain a resource loading sheet (RLS).
Oversee the resource requisition process, including sourcing and interviews.
Track resource leave management for project resources.
Assist in vendor resource onboarding, including laptop issuance, ID card access, and logistics.
