Overview
Executive, University Counselling Centre role at National University of Singapore. The position supports front desk, administrative, and operational tasks within the University Counselling Services administration team, contributing to efficient client appointment management, stakeholder communication, data handling, and daily operations. The role also supports ad-hoc departmental projects and activities as assigned by management to help deliver counselling and wellbeing services to the university community.
Responsibilities
Front Desk: schedule client appointments, assist walk-in clients, manage telephone calls and email enquiries, provide information on programmes and services, and perform centre-related administrative duties. Answer queries from internal and external stakeholders.
Operations and Administrative Support: be rostered for the new satellite clinic on assigned days (including meal breaks) with specified hours (e.g., Tue/Thu 08:30 AM – 06:00 PM and Fri 9:30 AM – 5:30 PM).
Data / System Related: extract and tabulate data for reporting and decision making; participate in data analysis; identify trends and opportunities for improvement; support process improvements and feedback collection.
Administrative: plan and coordinate events and initiatives; support procurement, invoicing, office maintenance, meetings and programme coordination to ensure smooth operations; perform ad-hoc departmental projects as assigned.
Qualifications
Bachelor's degree in Business Administration, Operations Management, Hospitality, Data Science, or a related field with client-facing experience.
Minimum 3 years of relevant working experience.
Proficient in Microsoft Office, Outlook, and Teams.
Knowledge of front-end and data visualization tools for analytics (e.g., dashboards, reports); experience with advanced Excel, Power BI, Qualtrics or similar tools is preferred.
Strong analytical, synthesis, and communication skills (written and oral); ability to negotiate and influence internally and externally.
Fast learner, able to ramp up on new domains, and capable of working independently or in a team with minimal prompting.
