Job Summary:

We are seeking a highly organized and detail-oriented Director's Executive Assistant to join our team at THE SUPREME HR ADVISORY PTE. LTD. The successful candidate will provide exceptional administrative support to our Director, ensuring seamless day-to-day operations and contributing to the overall success of the company.


Key Responsibilities:
  • Administrative Support:
    • Manage the Director's calendar, scheduling appointments, meetings, and events with internal and external stakeholders.
    • Coordinate travel arrangements, including flights, accommodations, and transportation, ensuring timely and efficient execution.
    • Handle visa applications and travel-related paperwork, maintaining accurate records and meeting deadlines.
    • Manage correspondence, including emails, letters, and online communications, maintaining a professional tone and ensuring timely responses.
    • Draft and proofread documents on behalf of the Director, ensuring accuracy and attention to detail.
    • Maintain accurate records of meetings, decisions, and important documents, providing regular updates as needed.
    • Update and manage the company's database and filing system, ensuring up-to-date information and easy access.
    • Oversee office administration, including supplies, equipment, and facilities, ensuring a smooth-running work environment.
    • Assistant to Director Duties:
      • Assist the Director in managing and coordinating projects, tracking progress, deadlines, and deliverables.
      • Conduct research on industry trends, market analysis, and competitor activities, providing valuable insights and recommendations.
      • Prepare reports and presentations based on research findings, presenting data in a clear and concise manner.
      • Assist in planning and organizing company events, conferences, and workshops, ensuring seamless logistics and guest management.
      • Manage event materials, guest lists, and logistics, ensuring a successful outcome.
      • Assist with financial tasks, such as expense reports, budgeting, and invoice processing, maintaining accurate records and adhering to company policies.
      • Prepare financial reports and analysis as needed, providing timely and accurate information.
      • Act as a liaison between the Director and other departments, clients, and partners, fostering strong relationships and communication.
      • Additional Responsibilities:
        • Assist with recruitment and onboarding processes, ensuring a smooth transition for new employees.
        • Handle employee relations and HR administration tasks, maintaining confidentiality and discretion.
        • Support marketing and sales initiatives, providing administrative support and coordination.
        • Assist with customer inquiries and complaints, resolving issues promptly and professionally.
        • Ensure compliance with relevant regulations and industry standards, maintaining a high level of integrity and professionalism.
        • Assist with legal documentation and contract management, ensuring accuracy and timeliness.

      Requirements:
      • Degree in business administration, secretarial science, or related field.
      • Proficiency in Microsoft Office Suite, with advanced skills in Word, Excel, and PowerPoint.
      • Relevant experience in administration or executive support, with a strong track record of delivering results.
      • Sports background and knowledge in tennis industry preferred, but not required.
