We are looking for a skilled professional to take on the role of Vehicle Operations Coordinator. As part of our team, you will be responsible for ensuring the smooth operation of our vehicle fleet.

  • Job Responsibilities:
  • Manage and rearrange car storage spaces, ensuring optimal utilization of available space.
  • Conduct thorough inspections of vehicles, including checking for any damage or issues that may affect their usability.
  • Maintain accurate records of vehicle movements, check-ins, and check-outs.
  • Update data in Google Sheets for reporting and tracking purposes.
  • Coordinate the swapping of replacement cars with customers, ensuring seamless transitions.
  • Inspect and quote bodywork for end-of-contract vehicles.
  • Liaise with external parties, such as AutoSpray and washing point services, to ensure efficient collection and inspection of vehicles.
  • Arrange for the replacement or repair of worn-out PVC seats.
  • Prepare and arrange cars for GetGo use, adhering to strict quality control standards.
  • Conduct thorough inspections of tow-in cars and submit request forms to the Service Advisor (SA).
  • Issue replacement cars as approved by the workshop/salesperson.
  • Update the total ready cars from the workshop/ARC to GetGo.
  • Monitor and update reports on cars sent to the workshop.
  • Check and approve parts quotations.
  • Prepare next-day delivery cars for salespersons.
  • Coordinate VICOM inspections and arrange for necessary repairs.
  • Oversee the entire fleet under LCR, ensuring compliance with regulations and best practices.
  • Create and update PO/DO/end contract entries in Dewtouch.
  • Conduct daily checks and tallies of keys and cars.
  • Verify and reconcile invoices for windscreen/PVC seat replacements.
Requirements
  • Valid Class 3 Driving License
  • Basic Computer Knowledge (Google Sheets preferred)
  • At least 1-2 years of relevant experience; automotive industry background preferred
  • Minimum O Level qualification and above
  • 5.5 days work week
