Salary: The estimated annual salary for this position is between SGD $60,000 - SGD $80,000 based on industry standards.

About the Role

We are seeking an experienced Senior Office Coordinator to provide high-level administrative support to our CEO. The ideal candidate will be proactive, detail-oriented, and able to manage multiple tasks and projects simultaneously. This individual must be comfortable working in a fast-paced environment and possess excellent communication and problem-solving skills.

Main Responsibilities

  1. Calendar Management: Efficiently manage the CEO's calendar by scheduling meetings, appointments, and travel arrangements while ensuring optimal use of time.
  2. Communication Management: Act as the point of contact between executives and internal/external stakeholders. Handle emails, phone calls, and other communication, ensuring timely and professional responses. Cascade messages and updates to relevant team members.
  3. Meeting Coordination: Organize and prepare materials for meetings, take meeting minutes, and follow up on action items to ensure timely execution.
  4. Travel Arrangements: Coordinate all aspects of travel, including booking flights, accommodation, transportation, and creating detailed itineraries.
  5. Document Preparation: Prepare reports, presentations, and correspondence. Assist with the preparation of contracts, proposals, and other business documents as needed.
  6. Event Planning: Assist in organizing company events, conferences, and other corporate functions.
  7. Project Support: Help execute operational projects and initiatives as requested by the executive team, including research, scheduling, and data collection.
  8. Confidentiality: Maintain a high level of confidentiality regarding sensitive information and organizational matters.
  9. Task Prioritization: Manage a variety of tasks effectively while prioritizing and meeting deadlines in a dynamic work environment.

Requirements

  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • A minimum of 3-5 years of experience as an Executive Assistant or in a similar role supporting C-level executives.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with other office software tools.
  • Strong organizational and time management skills, with the ability to multitask.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and problem-solving abilities.
  • Ability to remain calm under pressure and handle sensitive situations with professionalism and discretion.
  • Proactive, resourceful, and highly organized.
  • Strong interpersonal skills and the ability to interact with all levels of the organization.
