Job Description
Accounting Function
The Accounts Payable Assistant plays a critical role in the day-to-day operation of the Accounting function at Dulwich College (Singapore). The key responsibilities include:
  1. Perform AP-related postings, including AP invoicing, Outgoing payments, and creation of fixed asset master data, ensuring accuracy and completeness, in compliance with College policies and internal approval matrix;
  2. Take charge of payments and refunds, ensuring timeliness of payments and completeness of paperwork;
  3. Obtain and reconcile monthly vendors' Statement of Account, ensuring AP invoices are posted timely for prompt payments;
  4. Prepare and monitor weekly and monthly AP reports: bank reconciliation, AP Aging, and balance-sheet accounts;
  5. Monitor open AP related transactions: open invoices, budget requisition, and purchase orders;
  6. Process creation and maintenance of vendors in system;
  7. Serve as key point of contact for Junior school and Whole school communications, including related vendors, internal staff, and HQ for invoices, withholding tax, and payment-related matters;
  8. Perform Ad-hoc payment processing and send payment advice to vendors, ensuring accuracy of payment;
  9. Provide periodic guidance to new and existing members of staff over AP related processes;
  10. Work on continuous improvement on policies and processes to streamline efficiency and effectiveness.

General Ledger
The General Ledger function involves:
  1. Preparing and maintaining the accounts and financial reports for designated activities and any other funds or grants;
  2. Preparing journal vouchers for any internal charge, intercompany charge, or journal adjustments;
  3. Performing fixed asset capitalization for Capex and Construction capital works;
  4. Liaising with internal and external auditors.

Cash Handling
The Cash Handling function includes:
  1. Administering, distributing, and reconciling petty cash and cash advances closely with Executive Assistants and Academic Administrators;
  2. Working closely with all petty cash and cash advance holders ensuring timeliness of monthly reconciliation and completeness of approval in compliance with the College policies;
  3. Preparing and reconciling weekly and monthly petty cash reports, including monthly cash count and cash reconciliation reports.

Required Skills and Qualifications
To be successful in this role, you should possess:
  1. One year's experience in an accounting role (preferably AP);
  2. Experience in any accounting firms would be an advantage;
  3. Experience of working in a multi-national environment would be desirable;
  4. Excellent English language skills, both written and spoken, and the ability to work effectively in an English-speaking environment;
  5. The ability to work independently as a self-starter, is a quick learner, and a team player;
  6. The ability to work under pressure, prioritise workload with a meticulous approach to undertaking duties;
  7. Be IT Savvy and proficient in MS office (word, excel, powerpoint)
  8. Be able to work with all levels of management and stakeholders.
