Role Overview

We are seeking a highly organised and proactive Department Manager to join our team at the National Institute of Education (NIE). As a key member of the Learning Sciences & Assessment Department, you will play a crucial role in ensuring the smooth operation of the department by managing various administrative tasks and Administrative Executives to support faculty and staff.

Main Responsibilities:

  • Coordinating Department Meetings & Agenda: Prepare and distribute agendas for department meetings to ensure effective communication among team members.
  • Developing and Monitoring Departmental Work Plan: Assist in creating and tracking the department's work plan to achieve set goals and objectives.
  • Managing Exam Marks Entry (EME): Oversee the accurate and timely entry of exam marks for all courses to maintain academic integrity.
  • Part-Time Lecturer & Faculty Contract Renewal: Coordinate the renewal process for part-time lecturers and faculty contracts to ensure seamless operations.
  • New Appointment of Faculty: Support the hiring process and facilitate the onboarding process for new faculty members to ensure a smooth transition.
  • Faculty/Research Year-End Review: Assist in preparing and coordinating year-end reviews for faculty and research staff to evaluate their performance and set future goals.
  • Promotion & Tenure Process: Provide support for the promotion and tenure process to ensure fairness and transparency.
  • MOE Secondment Administration: Handle administrative tasks related to MOE secondments and provide support for the appraisal of Teaching Fellows.
  • Enhanced Academic Workload System Management: Collaborate with other Administrative Executives to manage the academic workload system to ensure efficient use of resources.
  • Student Feedback on Teaching Collection & Analysis: Coordinate the collection and analysis of student feedback on teaching to inform curriculum development and improvement.
  • Excellence in Teaching Commendation Award Nomination & Selection: Manage the nomination and selection process for teaching awards to recognize outstanding teaching excellence.
  • Liaising with the Department of Estate Development (DED): Coordinate onboarding and offboarding processes with DED to ensure seamless transitions.
  • Financial Planning & Assistance: Assist in preparing the annual budget and providing financial support for departmental initiatives.
  • Human Resource Liaison: Liaise with HR for faculty recruitment, contract reviews, promotions, and annual appraisals to ensure compliance with university policies.
  • General Office Administration: Ensure effective communication within the department, provide logistical support for events, support administrative processes, and oversee the administrative deliverables of junior officers.

Requirements:

  • A University degree.
  • Experience in leading an office administrative team is an advantage.
  • Proficiency in Microsoft Office applications (Excel and Word) and communication platforms (Microsoft Teams, Zoom, etc.), in particular Cloud Productivity tools such as Office 365.
  • Strong interpersonal and communication skills, both written and oral.
  • Ability to work independently and proactively.
  • Ability to maintain confidentiality.
