Role Overview:

The Lead Event Strategist will lead the planning and execution of key institutional events, ensuring seamless delivery through meticulous planning and effective coordination with cross-functional teams. The successful candidate will also be responsible for budget management, maintaining high standards, and delivering exceptional event experiences.

Key Responsibilities:

  • Event Planning and Management
    • Develop and oversee detailed plans for Open Houses, Graduation Ceremonies, Launch Events, and other key events, ensuring timely completion and alignment with objectives.
    • Manage logistics, including venue selection, setup, audiovisual requirements, and vendor contracts.
    • Create comprehensive event briefs to guide all involved teams.
  • Content Production and Management
    • Collaborate with internal stakeholders to conceptualise and produce event-related content, including promotional materials, event programmes, video scripts, and digital assets.
    • Coordinate on-site content creation, such as event photography and videography, to capture key moments and ensure high-quality outputs.
    • Oversee post-event content, including highlight reels, testimonials, and reports, to support ongoing marketing efforts and internal reviews.
    • Ensure branding and messaging consistency across all event-related materials.
  • Stakeholder Coordination
    • Work closely with internal teams, such as Recruitment, Admissions, Academic, Facilities, and Programme Management teams, to achieve event goals.
    • Engage and manage external vendors for services like catering, decor, and audiovisual support.
    • Serve as the primary point of contact for all event-related activities and communications.
  • Budget and Resource Management
    • Develop and manage event budgets, ensuring efficient allocation of resources.
    • Track expenses and prepare financial reports post-event.
    • Identify opportunities for cost optimisation while maintaining quality standards.
  • Risk Management and Compliance
    • Identify potential risks and develop contingency plans to mitigate disruptions.
    • Ensure all events comply with safety regulations, institutional policies, and contractual obligations.

Requirements:

  • Bachelor's degree in Events Management, Marketing, Communications, or a related field.
  • Additional certifications in Event Planning or Project Management are advantageous but not mandatory.
  • Minimum 3-5 years of experience in event planning, content production, or project management.
  • Proven track record of managing large-scale events.
  • Experience with content production, including creating event materials and multimedia assets.
  • Strong leadership and team management skills, with experience coordinating multi-stakeholder teams.
  • Flexibility to work evenings and weekends during event periods as required.
  • Familiarity with risk management and safety compliance protocols.
  • Knowledge of budgeting and financial management for events.
  • Basic skills in design tools, such as Adobe Creative Suite, Canva, along with familiarity with video editing software for producing engaging multimedia content.
  • Event management tools, such as Eventbrite, and project management software.

Salary Range: $60,000 - $80,000 per annum
