About the Role

We are seeking a highly skilled Accommodation Coordinator to join our team at RE SUSTAINABILITY CLEANTECH PTE. LTD. This is a fantastic opportunity for an individual with strong negotiation, communication, and problem-solving skills to take on a challenging role that requires collaboration with various stakeholders.

Key Responsibilities:
  • Sourcing accommodations and liaising with housing agents or dormitory operators to negotiate the best rental rates and renewals;
  • Managing assignments of housing or dormitories with Area/Operations Managers to achieve optimal occupancies rates;
  • Controlling and managing all costs and expenses related to accommodation with Area/Operations Managers;
  • Liaising with HR Business Partner (HRBP) and/or Area/Operations Manager assigned to work with the Accommodation Coordinator on all accommodation matters and issues;
  • Briefing tenants on house rules, terms and conditions, and proper maintenance of accommodation during their tenure;
  • Providing a schedule and participating in quarterly inspections of foreign workers' accommodation with Operations and preparing reports for submission to Area/Operations Managers, Operations Director, and Head, HR/HR Manager;
  • Taking disciplinary action against non-compliance, if necessary, with Area/Operations Manager;
  • Preparing payment requests for housing deposit, rental for renewal or new unit, and any handyman services required through HRBP;
  • Notifying tenants to pay for utilities and submitting proof of payment to landlords on a monthly basis;
  • Assisting in opening new SP accounts for new properties;
  • Reviewing tenancy agreements with housing agencies for housing and obtaining endorsements from Area/Operations Managers before seeking approval from Head. HR & Admin;
  • Stamping tenancy agreements for all units through Housing Agencies;
  • Handing over and taking charge of properties, including taking videos and photos of the property;
  • Arranging to purchase mattresses with bed frames for tenants, including preparing payment requests with Finance;
  • Arranging cleaning services if tenants fail to clean up after moving out, including preparing payment requests with Finance;
  • Arranging disposal of leftover items that tenants failed to clear up after moving out, including processing payment requests or deductions from deposits by landlords, and back-charging operations sites;
  • Safekeeping landlord keys in the key press and providing access to tenants in case of lost keys;
  • Preparing service charge fees for tenants requesting replacement keys through HRBP;
Requirements:
  • Detailed knowledge of onboarding and offboarding processes for dormitories and housing;
  • Excellent active listening skills and commitment to understanding stakeholders' perspectives;
  • Ability to communicate complex housing choices effectively to internal stakeholders and manage challenges;
  • Maintaining a non-judgmental, non-reactive, and non-defensive communication style during difficult discussions;
  • Possessing exceptional interpersonal skills to collaborate with diverse communities and build relationships with various stakeholders;
  • Critical thinking skills to make sound judgments in time-sensitive situations;
  • Ability to prioritize tasks efficiently and follow through in a timely manner;
  • Familiarity with proper record-keeping and reporting protocols;
  • Willingness to follow direction from the HR Manager or Area Manager;
  • Desire to work cooperatively as a team with all stakeholders;
  • Availability to work evenings, weekends, and occasional on-call hours during emergencies;
