Job Title: Senior Contracts Executive

We are seeking a highly skilled and experienced Senior Contracts Executive to join our team at ALJUNIED - HOUGANG TOWN COUNCIL. The successful candidate will be responsible for managing and coordinating the tender process, preparing contract documentation, and ensuring compliance with organizational rules.

Key Responsibilities:
  • Prepare and review contract documentation, including specifications, terms and conditions, and data extraction;
  • Coordinate the tender process, respond to tender queries, and perform data extraction and compliance checks;
  • Verify contractors' background and other information as needed;
  • Attend tender interviews, prepare minutes, and awards;
  • Manage contract documentation, including addendums and variations, and post-tender documentation and management;
  • Review RFQs and contract information in the ERP system for compliance and correctness;
  • Facilitate RFQs on behalf of departments and ensure compliance to organizational rules;
  • Provide support and advice on operational contractual, procurement, and compliance matters, including contractual terms and conditions;
  • Update related contracts information and database;
  • Perform administration and filing of contracts documentation;
  • Communicate with contractors and vendors, including consultants and project teams, on contract matters and resolve issues;
  • Secure approvals and issue letters to consultants and contractors on projects and contract-related documents;
  • Provide advice and support to various departments on contracts and procurement and provide regular guidance and training;
  • Perform other duties such as conducting contractors/vendors performance assessments and complying to SOPs and Policies;
Requirements:
  • Minimum 1 year of relevant experience in a contracts management team;
  • Excellent communication and interpersonal skills, both written and oral;
  • Proficient in Microsoft Office;
  • Highly ethical and able to maintain confidentiality;
  • Able to multitask efficiently while maintaining strong quality of work and attention to details;
  • Able to work independently and meet deadlines;
  • Positive attitudes and enthusiastic team player;
  • Good follow-up and time management skills;
