Job Overview

We are seeking a highly skilled Residential Property Portfolio Manager to oversee the day-to-day operations of our residential properties.

Key Responsibilities
  • Technical Supervision: Guide and supervise technical staff in carrying out their duties, ensuring high-quality service delivery.
  • Maintenance Management: Invite tenders and quotations for various maintenance services, repair works, and projects.
  • Insurance Review: Arrange for the review of insurance policies and recommend annual premium payments.
  • Salary Reviews: Recommend annual salary reviews for in-house staff based on performance and market rates.
  • Contract Management: Review contracts, agreements, and insurance 2 months before expiry and recommend renewal or call for quotation/tender.
  • Council Meetings: Attend Council Meetings and Annual General Meetings, preparing necessary documents and minutes.
  • Correspondence: Prepare all correspondence and minutes of meetings.
  • Staff Recruitment: Recruit and select suitable candidates for vacant positions.
  • Maintenance Planning: Plan and recommend periodic maintenance works to ensure timely completion.
  • Audit: Arrange for an annual audit of accounts and ensure compliance with regulatory requirements.
  • Budget Control: Monitor expenditure and advise Council if it exceeds approved budgets.
  • Statement Review: Review monthly statements and advise Council on any discrepancies.
  • Defaulters: Recommend actions to be taken against defaulters with assistance from solicitors.
  • Maintenance Budget: Propose and present annual maintenance budgets and sinking fund provisions to Council.
  • Expenditure Approval: Approve and authorize payment of outgoings, including taxes.
  • Works Orders: Approve and authorize works/purchase orders.
  • Legislation: Advise Council on legislation related to property management.
  • Fund Transfer: Advise Council on placement and transfer of funds when required.
  • Site Inspections: Conduct regular site inspections with term contractors to ensure services meet standards.
  • Improvement Works: Propose and recommend improvement, repairs, and upgrading works as needed.
  • Work Supervision: Supervise works (excluding repainting and structural appraisal).
  • Complaints: Receive and attend to complaints by residents and owners on common areas only.
  • Assistance: Assist with complaints beyond Corporation's purview, referring to relevant authorities when necessary.
  • Complaints Log: Maintain a complaints log book.
  • By-law Compliance: Check regularly to ensure residents comply with by-laws and report any breaches to Council.
  • Renovation Work: Attend to submissions for approval of renovation work in individual units and bring up for Council approval if necessary.
  • Record Keeping: Maintain records of checklists, service reports, plans, and manuals.
  • Government Directions: Refer all directions from government authorities to the Managing Agent.
  • PUB Consumption: Monitor PUB consumption and readings.
What We Offer
