Job Summary
We are seeking a highly skilled and experienced Dormitory Accommodation Manager to join our team at RE SUSTAINABILITY CLEANTECH PTE. LTD.
As a key member of our operations team, you will be responsible for managing all aspects of dormitory accommodations, including sourcing, negotiations, and cost control. You will work closely with Area/Operations Managers to achieve optimal occupancies rates and manage costs effectively.
The successful candidate will have excellent communication and negotiation skills, with the ability to build strong relationships with stakeholders, including tenants, landlords, and HR Business Partners. You will also possess critical thinking skills, enabling you to make sound judgments in developing and time-sensitive situations.
A key aspect of this role is your ability to maintain accurate records and reports, ensuring seamless coordination between teams. Your attention to detail and organizational skills will enable you to prioritize tasks efficiently and meet deadlines.

Responsibilities
- Sourcing and negotiating accommodations with housing agents or dormitory operators to secure the best rental rates and renewals.
- Managing assignments of housing or dormitories with Area/Operations Managers to optimize occupancies rates.
- Controlling and managing all costs and expenses related to accommodations with Area/Operations Managers.
- Coordinating and liaising with HR Business Partners and/or Area/Operations Managers on all accommodation matters and issues.
- Briefing tenants on house rules, terms, and conditions, as well as proper maintenance of accommodation during tenure.
- Providing quarterly inspection schedules and participating in inspections of foreign workers' accommodations with Operations and preparing reports for submission to Area/Operations Managers, Operations Director, and Head, HR/HR Manager.
- Taking disciplinary action against non-compliance, if necessary, with Area/Operations Manager.
- Preparing payment requests for housing deposits, rentals, and any handyman services required through HR Business Partners.
- Notifying tenants to pay for utilities and sending monthly reminders with proof of payment to landlords.
- Assisting in opening new SP accounts for new properties.
- Reviewing tenancy agreements with housing agencies for housing (including meetings with landlords to update HDB portals through HR Business Partners when there are changes in worker particulars) and obtaining endorsement from Area/Operations Managers before seeking approval from Head, HR & Admin.
- Stamping tenancy agreements for all units through Housing Agencies.
- Handing over and taking possession of properties, including capturing videos and photos of the property.
- Arranging purchases of mattresses with bed frames for tenants, including preparation of payment requests with Finance.
- Organizing cleaning services for tenants who do not clear up after moving out, including preparation of payment requests with Finance.
- Disposing of leftover items that tenants do not clear up after moving out, including preparation of payment requests or processing deductions from deposits by landlords and back-charging operations sites.
- Safekeeping landlord keys in the key press and assisting in providing keys to tenants in case of lost keys.
- Preparing service charge fees for tenants requesting replacement of lost keys through HR Business Partners.
Requirements
- Knowledge of onboarding and offboarding processes for dormitories and housing.
- Excellent active listening skills and commitment to understanding stakeholder perspectives.
- Ability to communicate complex housing choices to internal stakeholders and resolve challenges.
- Maintaining a non-judgmental, non-reactive, and non-defensive communication style during challenging discussions.
- Exceptional personal skills to work with diverse communities and build collaborative relationships with various stakeholders.
- Critical thinking skills to make sound judgments in developing and time-sensitive situations.
- Ability to prioritize competing tasks and follow through in a timely manner.
- Strong record-keeping and reporting protocols.
- Ability to follow direction from HR Managers or Area Managers.
- Desire to work cooperatively with all stakeholders.
- Availability to work evenings, weekends, and/or on-call hours during emergencies.
