Job Title: Condominium Property Manager

Job Description:

The Condominium Property Manager will be responsible for overseeing the day-to-day operations of assigned condominiums. Key responsibilities include:

Responsibilities:

  • Assist the Condominium Manager in ensuring the smooth operation of the condominium.
  • Plan, organize and supervise on-site contractors in carrying out maintenance and repairs.
  • Conduct regular inspections of common areas and institute remedial action as needed.
  • Assist in budget preparation, meeting attendance, and minutes preparation.
  • Handle renewal of term contracts and maintain contractual records.
  • Perform other duties assigned by superiors and the Management Council.

Maintenance Responsibilities:

  • Oversee the maintenance of facilities, landscape areas, and M&E equipment.
  • Defect list management and appointment scheduling.
  • Customer Service/Public Relations.
  • Create and maintain good rapport with Subsidiary Proprietors and stakeholders.

Purchasing/Work Order Responsibilities:

  • Sourcing, negotiation, and follow-up on purchase orders with contractors.

Facility Booking Responsibilities:

  • Knowledge of procedures and processes for fair facility bookings.

Complaint Management Responsibilities:

  • Resolve feedbacks effectively and professionally.
  • Assist team members in resolving escalated complaints or conflicts.

Meetings Responsibilities:

  • Promptly handle correspondences, statutory notifications, and enquiries.
  • Attend Council Meetings and Annual General Meetings.
  • Prepare and submit meeting minutes within stipulated timelines.

Emergency Response Responsibilities:

  • In emergency situations, contact and recall concerned parties to rectify faults quickly.

Event Management Responsibilities:

  • Plan and facilitate estate/building festive activities required by Management Councils.
  • Purchase and decorate estates within budget and timeframe for various festive seasons.

Staff Management Responsibilities:

  • Day-to-day supervision of technicians/service providers.

Insurance Responsibilities:

  • Assist in filing and following up on insurance claims for common area incidents.

Contractor/Procurement Management Responsibilities:

  • Source, invite, and conduct fair tendering/purchasing process.
  • Ensure contractual terms meet specific requirements.
  • Term contract management and prompt renewals with compliance to company SOP.

Financial Management Responsibilities:

  • Manage maintenance costs within budget.
  • Forecast impending costs and highlight to Condominium Manager and Management Council.

Requirements:

  • 5.5 days work week (Alternate Sat upon confirmation).
  • Preferably able to start immediately.
  • Minimum 2 years' relevant experience.
  • Strong communication and negotiation skills.
  • Ability to handle pressure and multiple tasks.
  • Good administrative and computer literacy.
  • Mature and outgoing personality.

Salary Estimate:

The estimated salary for this position is between SGD $60,000 - SGD $80,000 per annum, depending on experience.
