Job Title: Administrative Assistant

We are seeking an organized and detail-oriented Administrative Assistant to support our Clinical Department.

  1. Maintain the Clinical HOD's diary schedule and confirm appointments, meetings, lectures, seminars, and other official engagements.
  2. Manage administrative duties such as typing, scanning, making appointments, coordinating meetings, booking meeting rooms, opening general mails, and responding to enquiries.
  3. Answer and screen telephone calls and enquiries for Clinical HOD and department doctors.
  4. Establish and maintain a filing system.
  5. Process incoming and outgoing mail.
  6. Inform and/or remind the HOD on matters of interest and importance.
  7. Apply and prepare IT passwords, name stamps, name cards, workstations, and car park access for newly joined doctors and visiting consultants.
  8. Provide administrative support to department doctors, including HOs, MOs, residents.
  9. Draft, compose, and/or type documents (e.g. medical reports) and correspondences for Clinical HOD and department doctors.
  10. Work together with other department admins on schedules.
  11. Generate monthly rosters for medical staff.
  12. Compile department statistics and prepare departmental reports.
  13. Assist doctors (including visiting consultants) in their claims (night duty claims, meal allowance, training claims, etc).
  14. Administer other claims as necessary.
