Administrative Support for Holistic Mental Wellness Practice

AO Psychology PTE. LTD., a pioneering psychology practice, seeks a highly organized and empathetic Clinic Administrator/Receptionist to provide exceptional administrative support for our multidisciplinary mental wellness services.

About the Role

This role is crucial in ensuring a seamless client experience, from scheduling appointments to managing clinic operations. The ideal candidate will possess excellent interpersonal skills, a high level of organization, and experience managing administrative needs in a psychology or wellness setting.

Main Responsibilities
  • Client Management & Reception Duties: Greet clients warmly, manage appointment bookings, cancellations, and rescheduling through various platforms, answer phone calls and emails, and maintain patient confidentiality.
  • Administrative & Clinic Operations: Oversee daily clinic operations, manage the appointment calendar, process client payments, issue invoices, and maintain accurate financial records.
  • Therapy Room Booking Services: Manage room bookings and check-ins/check-outs for external therapists, assist with inquiries, and maintain accurate records.
  • Patient Records & Data Management: Maintain accurate and up-to-date client files, handle documentation, and use practice management software for data input and tracking.
Requirements
  • Diploma in Business Administration or related fields
  • Previous experience as a receptionist or clinic manager in a psychology or wellness setting is highly preferred.
  • Excellent organizational and time management skills, with the ability to multi-task in a fast-paced environment.
  • Strong communication skills, both written and verbal, and the ability to interact with clients with empathy and professionalism.
  • Ability to handle confidential information with discretion and professionalism.

Estimated Salary: SGD 50,000 - 60,000 per annum

Preferred Skills
  • Experience with Plato scheduling software, Microsoft Office Suite, and basic bookkeeping.
  • Knowledge of psychology, mental health, or wellness services is a plus.
