Senior Business Operations Coordinator

We are seeking a highly organized and detail-oriented Senior Business Operations Coordinator to join our team at WAH LOON PLANT & INSTRUMENTATION PTE. LTD.
About the RoleThe ideal candidate will possess excellent administrative skills, strong analytical abilities, and the ability to work independently in a fast-paced environment. As a key member of our team, you will provide comprehensive support to senior executives, ensuring smooth operations and effective communication within the organization.
You will be responsible for managing executive schedules, coordinating meetings, handling correspondence, and maintaining documentation. Additionally, you will prepare budget reports, track expenses against forecasts, and present updates to management.
Key Responsibilities- Executive Support: Serve as the main point of contact between executives and internal/external clients, manage executive schedules, including organizing meetings, appointments, and travel arrangements, and handle executives' requests, inquiries, and correspondence professionally and efficiently.
- Budget and Reporting: Prepare, review, and submit budget reports, tracking expenses against forecasts for business units, collaborate with finance and other relevant teams to gather financial data for reporting, and compile, analyze, and prepare presentations and update decks to management on the business unit's performance, progress, and key initiatives.
- Meeting and Event Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and circulating meeting materials, and arrange logistics for meetings, conferences, and events, ensuring all needs (e.g., venues, materials) are met.
- Communication and Correspondence: Manage phone calls, emails, and messages on behalf of the executives, ensuring timely and appropriate responses, and draft, proofread, and edit reports, presentations, and executive communications.
- Documentation and Filing: Maintain an efficient filing and documentation system for critical records, ensuring confidentiality, and monitor and manage office supplies, researching and ordering as needed to ensure operational efficiency.
- Proven experience as an Executive Administrative Assistant, Senior Executive Assistant, or in a similar role.
- Proficiency in MS Office Suite (especially Excel, PowerPoint, and Word) and familiarity with office management systems.
- Experience preparing budget reports and presenting updates for executive review.
- Excellent organizational skills and attention to detail with the ability to multitask and prioritize workloads.
- Strong written and verbal communication skills.
- High level of discretion and confidentiality when handling sensitive information.
- Diploma or degree in Business Administration, Finance, or a related field preferred.
$60,000 - $80,000 per annum, depending on experience.
